Accountabilities:

    The Client Operations Specialist will take ownership of critical operational workflows, ensuring accuracy, efficiency, and a seamless experience for clients and internal teams. This role requires strong organization, proactive communication, and a commitment to continuous improvement.

    • Partner with financial planners and wealth advisors to manage operational and administrative activities across client relationships.
    • Own and coordinate complex client workflows, including onboarding processes involving multiple stakeholders, ensuring tasks are completed accurately and on schedule.
    • Maintain and update client records within CRM systems and support the creation and optimization of operational workflows.
    • Coordinate with custodians and external partners to resolve operational needs quickly and accurately.
    • Manage client documentation, electronic forms, signatures, and account-related processes.
    • Support ongoing account maintenance, including account openings and closures, contributions, distributions, transfers, rollovers, beneficiary updates, and other client requests.
    • Monitor portfolio data systems to ensure accurate tracking and reporting of client information.
    • Act as a resourceful team contributor by supporting administrative needs and identifying opportunities to improve processes.
    • Help develop, train, and mentor future operations team members as the organization continues to grow.
    • Requirements:

      The ideal candidate is a highly dependable and service-oriented professional who thrives in a detail-driven environment and enjoys creating scalable processes. Strong communication skills, technical comfort, and the ability to manage multiple priorities are essential.

      • Bachelor’s degree required.
      • 1–2 years of relevant professional experience preferred, though candidates with strong potential and transferable skills may also be considered.
      • Experience in wealth management, financial services, registered investment advisors (RIA), custodial services, banking, or related industries is preferred.
      • Exceptional organizational skills with the ability to create systems that keep complex workflows on track.
      • Strong ownership mentality with a proven ability to follow through on commitments and manage responsibilities independently.
      • Excellent written and verbal communication skills, especially in a remote working environment.
      • Comfortable using technology and motivated to identify ways digital tools can improve operational efficiency.
      • Strong customer service mindset with a commitment to supporting both clients and teammates.
      • Ability to collaborate effectively in a remote, distributed team environment.
      • Positive attitude, adaptability, and willingness to take on a variety of responsibilities.
      • Benefits:

        • Competitive annual base salary range of $62,000–$72,000, depending on experience and qualifications.
