Position Title: HR Assistant

POSITION SUMMARY

The Human Resources Assistant provides administrative and operational support to the Human Resources department and serves as a point of contact for employees regarding HR-related questions and processes. This position assists with employee records, HR systems, payroll support, compliance, and general HR operations. The HR Assistant plays a key role in ensuring HR processes are accurate, timely, confidential, and provides an exceptional employee experience. This position requires excellent organizational skills, attention to detail, professionalism, and the ability to manage multiple priorities while maintaining confidentiality.

 

ESSENTIAL FUNCTIONS 

Human Resources Support

  • Provides administrative support to the Human Resources team.
  • Maintains employee personnel files and records to ensure accuracy and compliance.
  • Maintains HR reports, spreadsheets, and employee databases.
  • Ensures confidentiality of employee information and HR records.
  • Assists with new hire onboarding activities and materials.
  • Responds to employee questions regarding company policies, benefits, payroll, PTO, and HR procedures, directing to appropriate HR staff when needed. 
  • Assists with employee engagement initiatives.
  • Helps coordinate company events, engagement initiatives, and meetings. 
  • Supports performance review administration following up on pending reviews. 

 

Payroll Support & Recordkeeping

  • Assists with reviewing employee time records and payroll documentation.
  • Responds to employee payroll inquiries and assists with payroll audits and reporting.
  • Assists in reviewing timesheets, reviewing overtime, and investigating discrepances.
  • Provides guidance on compensable time and other payroll related questions. 
  • Maintains personnel records in accordance with company retention policies and maintains compliance with federal, state, and local employment laws.
  • Supports HR audits and compliance initiatives.
  • Assists with preparing reports for internal leadership.

 

HR System & Reporting

  • Maintains employee information within the HRIS.
  • Generates routine HR reports and metrics.
  • Assists with data entry, system updates, and record audits.
  • Supports HR technology initiatives and process improvements.

 

General Administrative Support

  • Answers HR department phone calls and answers emails from HR inbox. 
  • Maintains office supplies, HR forms, and performs filing, and scanning.
  • Prepares reports, presentations, and correspondence.
  • Provides back up for HR Admin as needed and supports special projects as assigned. 

Knowledge, Skills & Abilities

The successful candidate will possess strong organizational, time management, communication, and customer service skills, with a high level of professionalism, confidentiality, attention to detail, and accuracy. The position requires the ability to manage multiple priorities, meet deadlines, work independently and collaboratively, and quickly learn HR systems and new technologies. Proficiency in Microsoft Office Suite and a basic understanding of employment laws and HR best practices are also required.

 

Qualifications/Experience

An Associate’s degree in Human Resources, Business Administration, or a related field is preferred; however, an equivalent combination of education and experience may be considered. The ideal candidate will have one to three years of administrative or Human Resources experience, including experience handling confidential information. Prior experience supporting payroll is preferred, along with experience working with multi-state payroll. Familiarity with ADP Workforce Now or a similar HRIS system is a plus. 

 

Physical Requirements

This position requires the ability to perform routine office activities, including sitting, standing, walking, and using a computer and other standard office equipment for extended periods. The employee must occasionally lift and move items weighing up to 20 pounds.

 

Work Environment

This position is primarily performed in an office environment with a moderate noise level.
