We are seeking a professional and customer service focused Office Services Specialist to join the Opensity Solutions team at our law firm client's downtown office.  In this pivotal role you will provide various administrative support  which may include copy, print, mail, hospitality, facilities and receptionist services.  If you thrive in a professional business environment and seek to join an organization with true career growth opportunities we invite you to apply to join our dynamic team.

Location: Baltimore, MD
Pay: 19.50hr
Schedule: Monday-Friday (8am-5pm)

Guest Experience

  • Ensure a warm and personalized welcome to all guests, creating a lasting first impression that reflects the company's commitment to exceptional service.
  • Anticipate guest needs and preferences, proactively helping and providing personalized recommendations to enhance their stay.
  • Handle guest inquiries, client conflicts, and special requests promptly and professionally, resolving issues to the guest's satisfaction and following up as needed.
  • Continuously monitor guest feedback and reviews, identifying areas for improvement and implementing corrective actions to enhance guest experiences.

Mail

  • Facilitate essential mail services, encompassing accurate sorting and distribution of interoffice mail, timely execution of internal mail runs, and proficient operation of postage equipment for outgoing mail processing.
  • Ensuring the preparation of specialized outgoing mail (e.g., certified registered) and the diligent collection of outgoing mail from designated internal zones

Print

  • Perform critical print services, including proficient copying, rigorous quality control checks, meticulous record log maintenance, precise binding, hole punching, stapling, and basic copier maintenance.
  • Ensure accurate reproduction of CD/DVD, and USB materials in response to customer requests or as part of an imaging project.

Training

  • Actively participate in training programs, including the utilization of the Cornerstone platform, to enhance your knowledge and skills in the role.
  • Creation of SOPs as needed or as directed by Office Services Manager.

Position Requirements/Experience/Education:

  • High school diploma or equivalent,     
  • Minimum 1 year of experience in a business professional environment.    
  • Ability to understand client inquiries and provide effective responses
  • Experience in using Microsoft Office products and applications and other technology as needed
  • Understands the importance of delivering added value to clients        
  • Team player who can keep a positive attitude, motivate peers, and build relationships         
  • Ability to maintain confidentiality and security of any client information         
  • Displays a pleasant and cheerful disposition at all times
  • Client first mentality
  • Demonstrates accuracy and attention to detail
  • Detail orientated with the ability to multitask and work in a fast-paced high energy environment where priorities are constantly changing
  • Solid decision-making skills within the scope of the position
  • Ability to meet deadlines and work under pressure
  • Good verbal and written communication skills
  • Ability to lift or move 40 lbs. or greater
  • Ability to grasp, lift or carry packages on a standard wheeled cart with a load capacity of 75 lbs.
  • Ability to walk, bend, kneel, stand or sit for an extended period of time
  • Must be able to sustain a schedule of 9am-6pm, Monday - Friday. Regular attendance is required.

The Compensation range for this role is up to 19.50 USD per hour and may be eligible for an annual bonus. Actual compensation within that range will be dependent upon the individual's location, skills, experience and qualifications.
