About the Role
At Pavago, one of our clients is hiring a Construction Project Coordinator to support the successful execution of commercial construction projects from pre-construction through project completion.
This is a detail-driven operations role responsible for managing construction contracts, bonding processes, AIA billing, project documentation, and administrative coordination across multiple active projects. You’ll work closely with project managers, contractors, municipalities, vendors, and clients to ensure projects remain organized, compliant, and on schedule.

What You’ll Own
Contracts & Bonding Management
- Review and manage commercial construction contracts throughout the project lifecycle.
- Coordinate bid bonds, performance bonds, and maintenance bonds.
- Prepare and submit bonding documentation accurately and on time.
- Communicate with bonding companies, municipalities, and general contractors.
- Track contract compliance and maintain organized project documentation.
AIA Billing & Project Administration
- Prepare and submit AIA billing packages.
- Maintain and update Schedule of Values (SOV).
- Track retainage and project payment milestones.
- Ensure billing submissions are accurate and completed on schedule.
- Monitor deadlines and proactively identify potential payment or billing issues.
Buildertrend & Project Systems Management
- Maintain project documentation within Buildertrend.
- Track project schedules, milestones, receipts, and progress.
- Keep project records accurate, organized, and up to date.
- Maintain CRM and project management system integrity.
- Support leadership with project reporting and visibility.
Administrative & Project Support
- Coordinate communication with clients, contractors, vendors, and project stakeholders.
- Support pre-construction and pre-sales administrative activities.
- Organize contracts, permits, and project documentation.
- Assist project managers with operational coordination.
- Participate in weekly project meetings and provide project updates.
Requirements
Must-Have Qualifications
Experience
- Experience working with commercial construction contracts.
- Hands-on experience with AIA billing and payment applications.
- Experience managing Schedule of Values (SOV).
- Knowledge of bid bonds, performance bonds, and maintenance bonds.
- Experience tracking retainage and construction billing documentation.
Core Skills
- Strong Microsoft Excel and Microsoft Office proficiency.
- Excellent written and verbal English communication skills.
