About the role:
The purpose of this position is to provide assistance to the Facilities Management team in completion of multiple functions of building operations and maintenance for the campus.
The prime goal is to provide a safe, positive working environment in the campus, appropriate to organisational needs, and support services to the client..
This position works closely with the Facilities Manager.
What this job involves:
Site Operations
- Support the development and communication of Policies and Procedure as relevant to Facilities Management.
- Participate in various committee meetings as required.
- Provide relevant and compliant advice to facilities stakeholders.
- Manage building projects for the current facility and for the new facility as required.
- Support the Site Service Manager in the operational requirements.
- Obtain vendor quotes and coordinate contractors for the site services and projects.
- Work closely with Lab Managers and other related staff to support a fully functional facility.
- Assist with the coordination of office space for new staff.
- Ensure the smooth operation of all building/service functions.
- Assist with solving building/service related problems
- Liaise with maintenance contractors, to maintain all functions of the
- building/service including: Mailroom, Plants, Transportation, Event, Massage, gFit, Mechanical, Electrical, Fire Protection, Security, Lift, Waste streams, Cleaning, Equipment, Office Equipment and etc.
- Assist with the management of facility projects – repairs, maintenance, minor and major works.
- Ad Hoc responsibilities assigned by the Facilities Manager
- Prepare logs, documents and reports as required for the site and take action as required.
- Be a team player and work with other members of the team to meet all team goals and deliver performance excellence
- Observe and report all incidents or suspicious activity to the Client FM Manager or Client Security as appropriate for the circumstances and/ or as required by the site.
Risk Management
- Assist in the management of all emergency response situations, including the use of Monitor Fire Panel, EWIS (Early warning information system) and other systems.
- Coordinate all fire protection programs, including drills and debriefs.
- Monitor and utilise the Building Security System.
- Advise staff on building security and processes.
- Monitor and maintain the BMS (Building Monitoring System).
- Support the after hours building emergency response team (BERT).
Customer Services / Client Relations
- Build and establish relationships with stakeholders across all levels.
- Display tact and diplomacy in working and communicating with others/users.
- Be involved in the implementation of all internal & external communication strategies and events management in collaboration with client’s leadership to drive a purposeful fusion of life and work based on authentic human experiences.
- Evaluate service response time and analyze users’ service request trends and suggestions
- Ensure feedback from user sessions is recorded and actioned to the satisfaction of the end user.
- Lead by example and groom the team in achieving maximum client satisfaction level.

Above 5 years of relevant work experience in commercial offices or residential properties
Diploma from an accredited institute
Task Skills
Ability to learn and adapt to new complex tasks.
Participate in an on call roster to respond to specialised facilities and unforeseen events.
Demonstrated knowledge of building and facilities management systems
Demonstrated customer service skills, excellent written and verbal communication skills both in Madarin & English
Organisational and time management skills in an administrative setting and ability to liaise with different staff across a range of services
Ability to use relevant policy and procedure information to solve problems and provide high quality, timely, evidence-based advice
Proven ability to work as a member of a team as well as independently
Excellent attention to detail and ability to work accurately under time pressure
Interpersonal skills with a strong user focus.
Be able to maintain good relationships with a wide range of suppliers, employees, managers, contractors, executives and other stakeholders.
