Who We Need

The Property Services Coordinator is a vital operational link between tenants, property owners, and third-party contractors. Working fully remotely, this role manages daily maintenance queries, coordinates reactive repairs and planned maintenance, and maintains strict statutory property compliance across our residential portfolio.  

The ideal candidate is an organized, proactive problem solver with strong UK housing compliance knowledge, excellent remote communication skills, and a calm, customer-focused approach under pressure.  



Key Responsibilities

  1. Repairs & Maintenance Coordination
    1. Serve as the main point of contact for tenant and landlord repair inquiries via phone, email, and property management portals.
    2. Perform basic diagnostic questioning over the phone/email to identify issue scopes before dispatching contractors.  
    3. Assign works orders to approved contractors, manage trade schedules, and track jobs through to completion.  
    4. Process contractor invoices and verify job completion sign-offs against quoted costs.  
  2. Property Compliance & Safety
    1. Track and schedule cyclical safety inspections, ensuring 100% compliance across key statutory areas (Gas Safety/CP12, EICR, EPC, Fire Safety, and Legionella).  
    2. Monitor and track reactive health and safety risks (including damp and mould cases in line with UK regulatory guidelines).  
    3. Log and archive all safety certificates, O&M manuals, and work logs within the CRM system.
  3. Remote Contractor & Asset Management
    1. Source, onboard, and maintain relationships with reliable regional contractors across the UK.
    2. Ensure all contractors hold valid public liability insurance, certifications, and up-to-date compliance documentation.  
    3. Conduct post-repair follow-up calls with tenants to evaluate work quality and track contractor performance KPIs.  
  4. Tenancy & Administrative Operations
    1. Manage initial tenancy onboarding utility notifications (gas, electric, water, and council tax transfers).  
    2. Coordinate property inventory checks, check-in/check-out reports, and end-of-tenancy maintenance works. 
    3. Maintain complete, audit-ready digital files in the company’s property management software.



Key Qualifications & Requirements

  • Experience: 2+ years of experience in UK property management, social housing, block management, or lettings coordination.
  • UK Compliance Knowledge: Solid understanding of UK residential housing regulations (Gas Safety, Electrical Safety Regulations, Awaab’s Law, EPCs, and Health and Housing Safety Rating System - HHSRS).  
  • Tech Savvy: Comfortable using cloud-based property software (e.g., Fixflo, Reapit, Arthur Online, AppFolio, or Yardi), e-signature tools, and Microsoft 365/Google Workspace.  
  • Remote Work Setup: Dedicated, quiet home office environment with a reliable high-speed broadband connection.  
  • Communication: Exceptional written and spoken English with strong telephone diagnostic and conflict-resolution skills.  



Technical Requirements

  • Fiber internet (PLDT Fiber, Converge, Globe Fiber, etc.) - recommended speed of 100/50 Mbps
  • Backup internet (mobile hotspot or secondary ISP) capable of at least 20 Mbps
  • Quiet, conducive home workspace
  • OPTIONAL: Wired Ethernet connection preferred during work hours
  • OPTIONAL: Power backup (UPS) if the location experiences frequent outages
