What this job involves:

As a Facilities Coordinator at JLL, you'll be the vital link between our workplace and the people who bring it to life each day. In this role, you'll orchestrate the seamless operation of our office facilities, ensuring that every aspect of the physical workspace supports productivity, safety, and comfort. You'll manage vendor relationships, coordinate with building management, oversee office services, and serve as the go-to resource for staff needs ranging from workspace planning to emergency response. What your day-to-day will look like:

  • Serve as the primary point of contact for office operations, responding to staff inquiries and coordinating solutions for day-to-day facility needs while maintaining positive relationships across all levels of the organization

  • Conduct regular site inspections and assessments to identify opportunities for operational improvements, proactively recommending enhancements that elevate service standards and workplace safety

  • Coordinate with landlords, building management, and utility providers to ensure uninterrupted operations, managing everything from routine maintenance and repairs to lease renewals and office refurbishment projects

  • Oversee vendor selection, negotiation, and performance management within delegated authority, ensuring all service providers deliver quality work on time and within budget parameters

  • Manage office services including reception support, mail and courier coordination, office supplies inventory, equipment maintenance, and building access control systems

  • Support space planning initiatives by maintaining seat booking systems, coordinating workspace assignments, and facilitating smooth office moves or reconfigurations as business needs evolve

  • Plan and coordinate office events, meetings, and conference facilities, creating welcoming experiences for both internal teams and external visitors

  • Implement and supervise health and safety procedures, maintain emergency response documentation, conduct regular safety drills, and ensure full compliance with regulatory requirements

  • Monitor facility-related expenses and support budget management by identifying cost-saving opportunities, processing purchase orders accurately, and ensuring all expenditures align with approved budgets and company policies

Required qualifications:

  • Bachelor's degree in facilities management, business administration, hospitality, or related field

  • Minimum 4 years of experience in customer service, facilities coordination, office management, or related client-facing role, preferably within a multinational organization

  • Proven ability to manage multiple vendors and service providers simultaneously while maintaining quality standards and contractual compliance

  • Strong interpersonal and communication skills with demonstrated ability to build effective relationships across diverse stakeholder groups

  • Proficient in Google Workspace (GSuite) and comfortable learning new technology platforms for space management, ticketing systems, and facility operations

  • Fluency in English, both written and verbal, with ability to communicate complex operational matters clearly and professionally

  • Experience conducting site inspections, identifying facility issues, and coordinating solutions with appropriate parties

Preferred qualifications:

  • Background in corporate facilities management or commercial real estate operations

  • Familiarity with health and safety regulations, emergency response protocols, and business continuity planning practices

  • Experience supporting budgeting processes, managing purchase orders, and working with financial systems

  • Knowledge of space planning principles, workplace design trends, and modern office amenities management

  • Demonstrated ability to work effectively under pressure, manage competing deadlines, and adapt quickly to changing priorities

  • Track record of identifying process improvements and implementing solutions that enhance operational efficiency and employee experience
