Executive Assistant (Private Bank, Business Execution & Enablement)
The Executive Assistant provides primary administrative support to the Head of Business Execution and Enablement based in San Francisco, CA. This role enables effective execution of the Private Bank’s strategic priorities, including sales initiatives, business management, and enterprise coordination.
The position operates in a fast-paced, highly visible environment, requiring strong judgment, organization, and the ability to manage complex priorities across senior stakeholders.
Job Responsibilities
Executive Administrative Support
- Manage complex, high-volume calendars for the Head of Business Execution and Enablement, including meeting scheduling, prioritization, and conflict resolution
- Provide coordinated scheduling and administrative support to the Sales Enablement Team within the Head of Business Execution and Enablement’s organization
- Coordinate domestic travel, itineraries, and logistics
- Prepare daily agendas and ensure readiness for upcoming meetings
Inbox & Communication Management
- Manage executive inboxes, including reviewing, prioritizing, and responding on behalf of the executives when appropriate
- Track and follow up on key emails, requests, and decisions
- Serve as a point of contact for internal and external stakeholders
Expense Management
- Prepare and submit expense reports in a timely and accurate manner
- Manage invoices, reimbursements, and administrative financial tasks
- Support procurement and administrative processes as needed
Meeting & Logistics Coordination
- Schedule and coordinate internal and external meetings, including leadership forums and team meetings across Business Execution and Sales Enablement and support communication flow
- Coordinate scheduling and logistics across senior leaders, partners, and teams
- Prepare and distribute agendas, materials, and meeting logistics
- Capture notes and track follow-ups as needed
Document & Materials Support
- Format, edit, and prepare presentations, documents, and communications
- Maintain organized records of materials, files, and correspondence
- Ensure executives have materials in advance of meetings and engagements
Qualifications
- 5+ years of experience supporting senior executives in a complex organization
- Demonstrated ability to manage competing priorities in a fast-paced environment
- Strong organizational, planning, and time management skills
- Excellent written and verbal communication skills
- High level of discretion and professionalism
- Proficiency in Microsoft Office (Outlook, Teams, PowerPoint, Excel)
Hours & Work Schedule
- Hours per Week: 40
- Work Schedule: M-F
- San Francisco, CA with a four day in office requirement (1 day WFH)
Pay Transparency
The salary range for this position is $33.65- $48.07 per hour. Actual pay is based on various factors including but not limited to the work location, and relevant skills and experience.
