This role sits at the center of the go-to-market engine, owning and orchestrating the full lifecycle of RFx responses, including RFPs, RFIs, RFQs, and security questionnaires. You will transform a complex, cross-functional process into a streamlined, scalable operating model that enables faster, higher-quality submissions. Acting as both a project leader and process architect, you will coordinate inputs across Sales, Legal, Finance, Security, and Engineering to produce compelling, competitive proposals. The role blends operational rigor, stakeholder management, and technical writing expertise to reduce friction and improve win rates. Accountabilities:
- Own the end-to-end RFx lifecycle, including intake, qualification, prioritization, execution, and final submission of RFPs, RFIs, RFQs, and DDQs.
- Design and implement a scalable proposal operations framework, including go/no-go evaluation, intake workflows, approval gates, and structured delivery processes.
- Develop and enforce RACI models to ensure clear ownership and effective collaboration across Sales, Legal, Finance, Security, and other stakeholders.
- Manage and mentor a growing proposal operations team, including goal setting, performance management, coaching, and hiring support as the function scales.
- Act as the central project manager for all proposal activities, ensuring deadlines, quality standards, and stakeholder alignment are consistently met.
- Coordinate cross-functional subject matter experts to extract, synthesize, and translate technical inputs into high-quality proposal content.
- Leverage AI tools and automation platforms to build and maintain a centralized, continuously improving proposal content library.
- Oversee quality assurance of all submissions, ensuring consistency, clarity, compliance, and alignment with value messaging.
- Drive continuous process improvement across proposal workflows to improve speed, efficiency, and win probability.
- 3–5+ years of experience in bid management, proposal operations, technical writing, or related roles in SaaS or B2B technology environments.
- Proven experience managing or mentoring team members and contributing to team scaling efforts.
- Strong background in project management with the ability to handle multiple high-stakes, time-sensitive initiatives simultaneously.
- Experience collaborating closely with Sales Engineering, Pre-Sales, Legal, and other technical and commercial teams.
- Excellent technical writing and editing skills with the ability to translate complex technical concepts into clear, persuasive business language.
- Hands-on experience with AI tools or automation platforms for content generation, knowledge management, or workflow optimization.
- Strong cross-functional leadership skills with the ability to influence without direct authority.
- Exceptional communication skills with the ability to engage effectively with executives, technical teams, and legal stakeholders.
- Strong organizational skills, attention to detail, and ability to operate under tight deadlines.
- Ability to work effectively in a U.S.-based East Coast-aligned or distributed environment.
- Competitive base salary range of $135,000 – $145,000 annually (depending on experience and location).
