Accountabilities:
- Create operational leverage by supporting executive priorities, communications, time management, decision-making, and organizational alignment.
- Track open decisions, action items, commitments, risks, dependencies, and follow-ups to ensure critical initiatives continue moving forward.
- Translate complex discussions into clear outcomes, including decisions, owners, timelines, documentation, and next steps.
- Prepare executive-level materials such as meeting summaries, briefing documents, presentations, decision memos, and leadership communications.
- Coordinate across product teams, senior leaders, and cross-functional partners to improve visibility, collaboration, and execution.
- Optimize executive workflows by improving meeting effectiveness, calendar priorities, and focus time allocation.
- Develop scalable processes, systems, and workflows using automation, AI tools, and productivity platforms.
- Support strategic initiatives and organizational improvements across product and business operations.
- Act as a thought partner by identifying challenges, proposing solutions, and helping teams navigate ambiguity.
- 8+ years of experience supporting or partnering with senior executives such as a Chief Product Officer, Chief Operating Officer, CEO, technical founder, or equivalent leader.
- Previous experience in a Chief of Staff, executive business partner, senior executive assistant, business operations, product operations, or technical program management role.
- Strong written and verbal communication skills, with experience creating executive-ready documents and presentations.
- Proven ability to manage competing priorities, confidential information, deadlines, and cross-functional initiatives with excellent judgment.
- Experience collaborating with Product, Engineering, Operations, Finance, Safety, Quality, Commercial, Deployment, or similar teams.
- Ability to quickly understand technical concepts and operate effectively in technology-driven environments.
- Highly organized, proactive, and capable of creating structure without unnecessary processes.
- Strong problem-solving skills with the ability to identify issues and develop creative solutions independently.
- Comfortable working in fast-moving, ambiguous environments with changing priorities and high accountability.
- Willingness and ability to travel frequently as needed.
- Bachelor’s degree or higher in a technical, STEM, business, or related field preferred.
- Experience with AI tools, automation platforms, workflow optimization, or advanced productivity systems is a plus.
- Startup experience or background in complex, regulated industries such as energy, aerospace, or advanced technology is preferred.
- Competitive salary range of approximately $90,000–$225,000, depending on experience, qualifications, and location.
