Accountabilities:
- Submit eligible HVAC warranty claims through vendor portals while following specific rules, deadlines, and documentation requirements.
- Process customer credit memos and vendor-related debits accurately within internal systems.
- Monitor daily and monthly claim submission goals to ensure operational targets are achieved.
- Research, investigate, and resolve claim discrepancies, rejected submissions, and payment-related issues.
- Maintain detailed tracking records for approved, denied, and pending warranty claims.
- Communicate regularly with internal branch teams, customers, and vendors to provide updates and resolve concerns.
- Assist with customer and branch support related to warranty part returns and claim documentation.
- Reconcile vendor payments, customer credits, and outstanding discrepancies.
- Participate in team meetings, audits, special projects, and process improvement initiatives.
- Provide additional support during peak periods, including overtime when required.
- Ability to complete repetitive tasks with a high level of accuracy and consistency.
- Strong computer skills, including proficiency with Microsoft Office applications.
- Excellent written and verbal communication skills with the ability to interact professionally with customers, vendors, and internal teams.
- Ability to manage multiple vendor requirements, procedures, and standard operating processes.
- Strong organizational skills with attention to documentation and record accuracy.
