Project Administrator Responsibilities 

Role: Project Administrator

 

On-Site Activities for Gerota Hospital
  • Perform quality control activities, including MAFs, quality plans, conformity checks, construction books-including both Receipt Notes and quality documents (procese verbale), and follow-up of both internal, subcontractor quality control activities, and client-related activities.
    • Create the MAFs, collect all technical documentation related for Honeywell's equipment, collect and correct MAF's from subcontractors.
    • Create the Quality Documentation for project assigned, for each system in scope, collect all technical documentation related for Honeywell's scope, collect and review and approve the Quality documentation for each subcontractor and each system in scope
    • Manage directly with Client all the Quality documentation till approval are obtained
    • Create the Technical Construction Book for each system in scope. Collect the construction book documentation from subcontractors side. Create and coordinate the Technical construction Book documentation for project and submitted to the Client.
    • Manage directly with Client all the documentation from technical construction Book
  • Manage directly with Client all the MAFs till approval are obtained
  • Conduct on-site quality inspections, register non-conformities, monitor corrective actions, and coordinate inspections with the subcontractors 
  • Conduct on-site quality inspections, register non-conformities, monitor corrective actions, and coordinate inspections with the client once issues have been resolved.
  • Maintain and regularly update the Non-Conformities Register both with subcontractors and client.
  • Follow up on HSE documentation with both the client and Honeywell subcontractors.
  • Carry out safety observations on site and monitor Honeywell and subcontractor resources from an HSE perspective.
  • Maintain direct communication with the client regarding quality control activities, including participation in on-site meetings.

 

Main Responsibilities as Project Administrator
  • Support the Project Manager with project-related activities in SAP and other relevant systems.
  • Follow up on material deliveries in line with project priorities.
  • Create subcontractor purchase requisitions.
  • Coordinate subcontractor activities according to the Project Manager’s instructions.
  • Coordinate subcontractor invoices and related documentation.
  • Support the Project Manager in preparing all required documentation for invoicing and submitting requests to the relevant Hub back-office team for processing.
  • Assist the Project Manager in obtaining the required documentation and approvals for project execution.
  • Manage project-related document control activities.

 

Qualifications, Experience and Skills
  • Availability to be present at the Gerota construction site on a daily basis.
  • Ability to quickly become familiar with new processes, take initiative, and identify solutions independently.
  • Minimum of five years’ experience working on complex projects.
  • Strong computer skills, including Microsoft Windows, Outlook, and the Microsoft Office suite.
  • Knowledge of SAP.
  • Ability to work effectively and collaboratively in a team environment.
  • Ability to follow business processes and complete assigned tasks reliably.
  • Ability to remain calm and focused under pressure.
  • Strong organizational skills, with the ability to multitask and prioritize based on impact and importance.
  • Good verbal and written communication skills.
  • Good written and spoken English skills
  • Perfect knowledge of the local language
