We are seeking a PXI (People, Experience & Insights) Specialist to join our HR Operations team based in our Santa Clara, CA office, reporting to the Global HR Operations Manager. This role plays a critical part in delivering a seamless employee experience by supporting key HR operational programs, including leave of absence (LOA) and time-off programs, Workers’ Compensation, and 401(k) and NQDC programs.The ideal candidate is highly organized, service-oriented, and detail-driven, with a passion for operational excellence. You’ll play a key role in delivering high-quality, employee-centered HR services that support employees through some of the most important moments in their lives. What You Can Expect
- 2–4 years of HR, benefits, or HR operations experience
- Bachelor’s degree in Human Resources, Business Administration, or a related field.
- Experience supporting leave of absence, 401(k) and NQDC, or employee services strongly preferred
- Strong organizational skills and attention to detail, with the ability to manage multiple priorities simultaneously
- Excellent communication and interpersonal skills, with a customer-service mindset
- Ability to work independently while collaborating effectively across teams
- Familiarity with HR systems such as Workday or similar platforms
- Basic knowledge of compliance requirements related to leave and benefits (e.g., FMLA, ADA, state leave programs)
- Proficiency in Microsoft Excel and general data analysis
- Continuous improvement mindset with interest in process optimization and automation
What We're Looking For
Leave of Absence (LOA), Disability & Employee Support
- Serve as first point of contact for employee consultations related to LOA, disability, and related programs, managing approximately 150 leave cases annually
- Administer leave processes in Workday, ensuring accuracy, compliance, and a positive employee experience
- Partner with external vendors (e.g., leave administrators) through regular check-ins, issue resolution, and case oversight
- Support ADA accommodation requests and processes in partnership with Legal and HRBPs
- Perform payroll audits related to leave programs and resolve discrepancies, including manual adjustments as needed
- Manage leave program compliance, including state-specific requirements, filings, and communications updates
- Ensure accurate reconciliation of employee missed benefits deductions during leave
- Identify and implement process improvements and automation opportunities for leave management programs
Retirement Administration
- Support day-to-day administration of retirement programs (e.g., 401(k), NQDC), including reporting, audits, eligibility monitoring, and vendor coordination
- Assist with plan governance, compliance activities, and committee preparation
- Support annual activities such as audits and enrollment processes, ensuring accuracy and timely execution
- Manage communications and track effectiveness to enhance employee engagement with benefit programs
- Partner with vendors and internal stakeholders to maintain smooth operations and resolve issues
Workers’ Compensation
- Support administration of workers’ compensation cases, including employee intake, case tracking, and vendor coordination
- Partner with managers, HRBPs, Legal, and external providers to ensure proper handling and resolution of cases
- Assist with compliance requirements such as OSHA reporting and documentation
Global Time-Off
- Administer global and regional time-off programs, including accommodations and holiday/shutdown calendars
- Coordinate global holiday schedules and publish updates across systems (e.g., ServiceNow, Outlook)
- Support development of employee experience initiatives such as recharge programs or time-off enhancements
- Maintain and update time-off policies and handbook content in partnership with Legal
Vendor Management & Operational Support
- Manage day-to-day relationships with vendors, including invoicing, purchase orders, and contract coordination
- Support administration of ancillary programs (e.g., life, AD&D, critical illness, travel insurance, specialty benefits)
- Assist with data collection and vendor evaluations for renewals and program improvements
- Provide operational support for M&A activities and benefit transitions as needed
Special Programs, Site Support & Employee Care
- Serve as a point of contact for sensitive employee matters (e.g., death benefits), coordinating cross-functional support and vendors
- Administer specialized employee programs (e.g., family support benefits, reimbursements)
- Provide onsite HR support and serve as a resource for employee inquiries
- Co-host New Hire and Benefits Orientation sessions to support a smooth onboarding experience
- Manage new hire activities, including I-9 processing and day-one readiness in partnership with cross-functional teams
- Contribute to projects that enhance HR operations and employee experience
Expected Base Pay Range (USD)
67,110 - 100,500, $ per annumThe successful candidate’s starting base pay will be determined based on job-related skills, experience, qualifications, work location and market conditions. The expected base pay range for this role may be modified based on market conditions.
