The U.S. Subpoena Team manages the intake and processing of subpoenas and other legal requests, ensuring timely, accurate, and compliant responses within a high-volume, deadline-driven environment.
The Intake Team Lead oversees daily intake operations, including reviewing incoming requests, coordinating workflow, and ensuring accurate data entry into case tracking systems. This role requires strong leadership, attention to detail, and a process-driven approach to managing high-volume administrative tasks and prioritizing time-sensitive requests.
The ideal candidate will have proven management experience, excellent organizational skills, and the ability to effectively oversee and support team workflow. Prior experience in a legal or subpoena-related environment is encouraged but not required.
Depth & Scope:
- Provides people management leadership by hiring the best talent, setting goals, developing staff, managing employee performance and compensation decisions, promoting teamwork and handling any/all disciplinary actions, as required
- Provides management, leadership, coaching, counseling and guidance to subpoena team
- Supervises subpoena department projects and meets regularly with subpoena department members to track progress and adjust assignments and deliverables
- Trains new subpoena staff members in policies, practices and procedures including incorporating procedures
- Oversees the more complex production requests and prepares them for submission to Legal Research team
- Provides direction to other Subpoena staff members; assigns, prioritizes and monitors work
- Provides training to new Subpoena staff members on policy and procedure, as requested by Supervisor
- Leads projects, special tasks and the more difficult to handle summons and subpoenas
- Participates in evaluating effectiveness of projects after implementation; receives feedback from various internal areas, passes information to others as necessary and incorporates changes into further project plans
- May be required to travel and/or testify on the Bank's behalf as Record's Custodian
- Communicates with in-house counsel and outside counsel on various topics
Education & Experience:
- High School Diploma or GED
- 5 Years of related experience
- Legal Assistant certification/training highly desirable
- 4+ years of legal assistant work experience or administrative experience in a banking or corporate environment or legal office is required
- Must have strong knowledge of departmental policies, procedures and functional areas of the organization
- Advanced Proficiency with basic office equipment such as personal computers, fax machines, copiers and telephone systems with excellent knowledge of Microsoft Word, Excel, PowerPoint and Access
- Must have excellent typing and transcription skills
- Excellent interpersonal, organizational, verbal and written communication skills are necessary
- Detail-oriented, highly motivated and adaptable
- Must exercise sound judgment and maintain confidentiality of records and information
- Must have excellent Customer service orientation
