Job Description:
The Senior Crew Contract Specialist supports Flight Operations by managing hotel and transportation partnerships that support Pilots and Flight Attendants across the network. They’ll oversee contract administration, vendor relationships, invoice auditing, and data analysis to help ensure efficient and cost‑effective operations. They’ll provide reporting and insights to the Crew Accommodations Board and Southwest Airlines Leaders while supporting Crew hotel allocation decisions. The Senior Crew Contract Specialist leverages strong analytical and relationship‑building skills to enhance Crew experience, support operational performance, and drive informed business decisions.

Responsibilities- Runs regularly-scheduled reporting and distributes reports to all relevant parties; troubleshoots workflow errors
- Creates new workflows and reporting (ie in Alteryx, Excel, or Tableau) at the direction of (but with limited assistance from) the Manager
- Maintains supplier information in the Crew Hotels system; Creates training materials for new vendors as needed
- Assists with large, cross-departmental projects and new technology implementations, including assessing risks and designing/testing processes
- Acts as the liaison for the LEAD Operations (Pilot Training) Team with limited assistance from the Manager; Maintains Pilot training class lists and analyzes data to properly allocate trainees amongst contracted hotels and transportation vendors; Ensures the plan is properly implemented each month
- Serves as a SharePoint owner/manager for the CAB private site and the Crew Hotels & Transportation public SWALife site
- Assists with the monthly manifest creation, including assignment of all Crew Members to overnight hotels based on their schedules, with limited direction of the CAB Chairman
- Serves as the primary educator of new Crew Contract Specialists. Effectively explains all processes as well as the reasoning behind current process design. Provides one-on-one instruction, shadowing, and guided, hands-on learning and reports progress and areas for opportunity/improvement to the Crew Hotels & Transportation Manager
- May perform other job duties as directed by Employee's Leaders
- Intermediate knowledge of Crew Contract Specialist role and responsibilities (including execution of daily tasks with limited direction from the Crew Hotels & Transportation Manager); Ability to effectively communicate and teach these skills to new Team Members
- Intermediate knowledge of Microsoft Word, Outlook, PowerPoint, and Excel required
- Intermediate knowledge of Microsoft Teams and SharePoint (including maintaining and updating SharePoint sites)
- Intermediate knowledge of Alteryx and Tableau (including maintaining current reports and workflows as well as creating new ones from scratch) required
- Ability to communicate verbally and in writing in a clear and concise manner (including use of proper grammar and spelling)
- Ability to self-motivate, display a strong work ethic, and establish/maintain a high degree of credibility and integrity
- Ability to effectively prioritize multiple tasks, displaying a sense of urgency, with no direction from the Manager
- Ability to effectively manage and organize multiple work streams simultaneously
- Ability to analyze large data sets and create new technology workflows with limited direction from the Manager
- Required: High School Diploma or GED
- Intermediate level experience, fully functioning skills and broad knowledge in
- data analytics and creation of training materials
- Preferred: Experience in Alteryx, Tableau, Quickbase, Comply, Coupa, Ironclad, SharePoint page management, and Excel.
- Preferred: Experience in invoicing, auditing, contract preparation, and contract management.

- Ability to perform work duties from desk for extended periods of time
- Ability to communicate and interact with others in the English language to meet the demands of the job
- Ability to use a computer and other office productivity tools with sufficient speed and accuracy to meet the demands of the job
- Must maintain a well-groomed appearance per Company appearance standards as described in established guidelines
- Must be a U.S. citizen or have authorization to work in the United States as defined by the Immigration Reform Act of 1986
- Must be at least 18 years of age
- Must be able to comply with Company attendance standards as described in established guidelines
- Extended hours and limited travel may be required on occasion
- Must meet confidentiality expectations with respect to proprietary and sensitive Company information
Pay & Benefits:
- Competitive market salary from $81,200 per year to $90,200 per year* depending on qualifications and experience. For eligible Leadership and individual contributor roles, additional bonus opportunities are available and awarded at the discretion of the company.
