Facilities Executive

Account Management – Work Dynamics (Country, Region)

Summary

 

The Soft Services Executive is responsible for managing building fabrics, general office cleaning, pantry services, and horticulture according to established Service Level Agreements

 

What this job involves:

Operational Task

  • Maintain all building fabrics including internal fixtures, fittings, furniture, partitioning, doors, floor coverings, and decorations.
  • Track and resolve all snags within agreed timeframes
  • Coordinate with external vendors when necessary and manage estimates
  • Maintain accurate records of all building fabric maintenance activities
  • Share weekly upkeep tracker with client

General Office Cleaning.

  • Manage cleaning consumables inventory with minimum agreed stock levels (Taski or equivalent)
  • Oversee daily cleaning activities including:
  • Waste bin emptying
  • Door glass cleaning
  • Carpet cleaning
  • Furniture and workstation cleaning
  • Coordinate repetitive daily cleaning of lobbies, toilets, meeting rooms
  • Manage garbage disposal according to site-specific collection process
  • Ensure completion of weekly activities: dustbin washing, partition cleaning, toilet deep cleaning
  • Supervise fortnightly cleaning: terrace areas, cob-webs, restricted areas
  • Oversee monthly cleaning
  • Ensure water cooler and RO machine cleaning
  • Monitor cleaning quality to maintain less than threshold number of complaints

Pantry Services.

  • Ensure water dispensers and vending machines are properly maintained
  • Coordinate cleaning of water purifiers/dispensers/vending machines
  • Manage inventory of crockery and cutlery with monthly reporting
  • Provide tea/coffee service for VIP guests/meetings
  • Maintain accurate MIS and MMR for beverages, bottled water consumption.

Horticulture

  • Maintain sufficient indoor plants across floors.
  • Ensure daily cleaning and maintenance of plant pots
  • Schedule plant replacement as and when needed (typically on weekends)

 

Performance Requirements

  • Maintain minimum compliance for building fabric maintenance
  • Achieve 100% accuracy in consumable inventory management
  • Meet cleaning schedule compliance targets
  • Close housekeeping service tickets within agreed TAT
  • Maintain pantry services with minimal complaints
  • Provide weekly/monthly reports as specified in SLAs

Skills and Qualifications

  • Experience in facilities management or soft services supervision
  • Knowledge of cleaning standards and procedures
  • Inventory management skills
  • Vendor coordination experience
  • Strong attention to detail
  • Excellent communication and reporting skills
  • Problem-solving abilities
  • Experience with maintenance tracking systems

 

This position reports to the Facilities Manager and works closely with clients, vendors, and cleaning staff to ensure exceptional service delivery according to the established SLAs.

Strong knowledge of building operations

Playing a key role, the ideal candidate holds a degree in business or hotel and building management, and at least three to five years’ experience in facilities management. You must also demonstrate good working knowledge in occupational safety, as well as aptitude in client-centric operations.

 

Solid background in team management

Are you an adept leader with a proven track record in managing a team? Are you capable of effectively rolling out improvement plans? Do you possess superior communications and reporting skills?
