What this job involves:

As an Assistant Transport Manager at JLL, you'll play a vital role in supporting the seamless operation of transportation services for one of our premier client accounts. Working alongside the Transport Manager, you'll help coordinate fleet operations, driver scheduling, and logistics planning to ensure safe, efficient, and cost-effective transport solutions. You'll be instrumental in maintaining service excellence standards, implementing process improvements, and ensuring compliance with transportation regulations and safety protocols. You'll act as a single point of contact for transport escalations while driving continuous improvement in service delivery and operational efficiency.

What your day-to-day will look like:

  • Oversee shift-level transport operations, ensuring all vehicles depart on schedule before shift login times and that employee pickups are monitored and completed safely and punctually
  • Maintain and update vendor performance scorecards quarterly, conduct monthly vendor meetings, and coordinate contract renewals with the client team while ensuring Minutes of Meeting are shared with senior management
  • Prepare and distribute daily operational reports, weekly and monthly management information on costs and service delivery, and ensure SLA reports on on-time arrivals are submitted according to agreed procedures
  • Ensure strict adherence to client security guidelines for transportation, particularly for female staff, and escalate any deviations through proper channels immediately
  • Conduct routine vehicle inspections using approved checklists, manage route and trip list creation, and ensure accuracy of pickup and drop lists distributed to vendors in a timely manner
  • Handle employee escalations during shifts, close helpdesk priority and ad hoc calls, and inform the Transport Manager immediately of any operational disruptions, incidents, or accidents
  • Support Business Continuity Management planning by preparing transport plans during BCM situations and actively participating in client-led planning meetings
  • Work closely with billing teams on invoice payments and monthly accruals, analyze transport costing data for accuracy, and recommend deductions or penalties where vendor performance warrants action
  • Develop and train the transport team through scheduled training plans, oversee team attendance and performance, and maintain all shift registers for transport security, vendors, and drivers

Required qualifications:

  • Bachelor's degree or diploma in logistics, transport management, business administration, or a related field
  • Minimum 5-6 years of overall experience with at least 4 years in transport operations or logistics within the IT, hotel, or facilities management services sectors
  • Demonstrated ability to manage vendor relationships, conduct performance evaluations, and coordinate contract management activities
  • Strong proficiency in Microsoft Office Suite and email communication with the ability to prepare detailed operational reports and management information
  • Proven experience in managing shift operations, coordinating with cross-functional teams, and acting as a point of escalation for service issues
  • Solid understanding of transportation compliance requirements, safety protocols, and statutory regulations applicable to fleet operations
  • Excellent communication and interpersonal skills with the ability to build strong relationships with clients, vendors, drivers, and internal stakeholders
  • Strong problem-solving abilities, analytical thinking, and capacity to identify process improvements that enhance service efficiency and reduce costs

Preferred qualifications:

  • Experience in preparing and participating in Business Continuity Management scenarios and emergency response planning
  • Knowledge of audit processes with the ability to provide audit reports, justifications, and ensure timely closure of audit findings
  • Track record of implementing innovative initiatives and projects that minimize operational costs while maintaining or improving service quality
  • Experience supervising and developing transport teams including MIS executives, transport coordinators, compliance executives, and helpdesk staff
  • Understanding of key performance indicators and service level agreements specific to corporate transport and facilities management environments
