The Role

We’re looking for an Executive Assistant to support our Executives in their day-to-day work and strategic priorities. You’ll keep things organized and moving behind the scenes: managing complex schedules, preparing our leaders for what’s ahead, and making sure everything stays on track in a fast-moving, global organization. This isn’t a role where you wait for instructions. You’ll anticipate what’s needed, flag things before they become problems, and adapt quickly when the day doesn’t go as planned. You’ll work closely with teams across the business and with external partners, and you’ll report directly to our Executives.

What you'll do

  • Manage calendars for multiple Executives across time zones, including scheduling, resolving conflicts, and protecting time for deep work and high-priority meetings.
  • Take full ownership of domestic and international travel: flights, hotels, transfers, visas, and last-minute changes.
  • Prepare meeting materials, pre-read documents, and briefings so our leaders show up to every conversation fully informed and with a clear agenda.
  • Serve as the primary point of contact for internal stakeholders and external partners, ensuring communication is smooth, timely, and professional on all sides.
  • Act as the connecting point between our Executives and the broader leadership team — keeping communication flowing, information current, and the right people in the loop.
  • Research topics at short notice, consolidate information from multiple sources, and deliver concise summaries that help our leadership make faster, better decisions.
  • Draft and edit presentations, strategy documents, and board-level materials – clear structure, no fluff, ready to send.
  • Use AI tools and automation to streamline recurring workflows — from research and briefing preparation to scheduling and document drafting — so leadership time is spent where it matters most.
  • Take ownership of internal projects that need someone reliable to drive them forward: process improvements, cross-team coordination, event logistics, and ad-hoc initiatives that don’t yet have an owner.
  • Handle sensitive information about business strategy, personnel, and financials with full discretion at all times.

What you bring to the table

  • Proven experience as an Executive Assistant or in a comparable role, ideally supporting senior leadership in an international environment.
  • You’re skilled at managing up. You read the situation, communicate what your leaders need to know before they ask, and keep things moving without needing direction for every step.
  • Fluent in English - written and verbal. German is a plus.
  • Comfortable working with AI tools and automation platforms to get things done faster and smarter - you don't wait for someone to show you how, you figure it out.
  • Comfortable working across Microsoft 365 (Outlook, Teams, SharePoint) and AI tools such as Microsoft Copilot or Claude to work faster and smarter. Experience with travel management platforms (e.g., TravelPerk or Concur) is a plus.
  • You’re organized, calm under pressure, and comfortable reprioritizing when the day takes a different direction.
  • Experience coordinating executive-level meetings, off-sites, or leadership events – you handle the details so others don’t have to think about them.
  • You take confidentiality seriously and understand what it means to work with sensitive information at leadership level.
