The Executive Assistant serves as a trusted partner to the Chief Accounting Officer, Chief Tax Officer and other senior finance leaders, providing executive, governance, and operational support across Controllership and Corporate Tax. Responsibilities include executive calendar and meeting management, governance committee administration, leadership communications, onboarding coordination, event planning, regulatory and audit meeting support, vendor and contractor administration, and special project coordination. The role regularly handles highly confidential information, including financial, regulatory, personnel, strategic, and material nonpublic information, requiring exceptional judgment, discretion, professionalism, and attention to detail. The position requires the ability to manage multiple priorities, anticipate executive needs, and effectively coordinate across senior leaders and business partners.
ESSENTIAL JOB FUNCTIONS
- Provide executive support to the Chief Accounting Officer, Chief Tax Officer and other senior finance leaders, including calendar management, meeting coordination, travel arrangements, and management of competing priorities.
- Coordinate governance committees and executive forums, including scheduling, logistics, attendee management, meeting materials, action item tracking, and follow-up communications.
- Support regulatory, audit, and risk management activities by coordinating meetings, preparing materials, and facilitating communication among key stakeholders.
- Organize leadership meetings, town halls, employee engagement events, and executive communications programs.
- Coordinate onboarding activities for new hires, including access requests, technology setup, training coordination, and orientation activities
- Administer contractor and vendor processes, including onboarding, training compliance, documentation, and ongoing coordination.
- Support special projects and strategic initiatives by tracking deliverables, coordinating stakeholders, and ensuring timely execution of key activities.
- Prepare, organize, and distribute meeting materials, presentations, reports, and executive communications.
- Handle highly confidential financial, regulatory, personnel, strategic, and material nonpublic information with discretion, professionalism, and sound judgment.
- Assists in the mailing and tracking of federal, state and local tax compliance documents.
REQUIRED QUALIFICATIONS
- 5+ years of executive administrative support experience supporting senior leaders.
- Demonstrated experience managing complex calendars and executive priorities.
- Exceptional organizational skills and attention to detail.
- Strong written and verbal communication skills.
- Ability to manage multiple priorities simultaneously while maintaining accuracy.
- Demonstrated ability to handle highly sensitive and confidential information, including financial, regulatory, personnel, and material nonpublic information.
- Exercises sound judgment, discretion, and professionalism when interacting with senior executives, regulators, auditors, and external parties.
- Advanced proficiency in CoPilot, Microsoft Outlook, Teams, PowerPoint, Word, and Excel.
PREFERRED QUALIFICATIONS
- Experience supporting executive leadership within Finance, Accounting, Tax, Risk Management, Reporting, Internal Audit, or other highly regulated environments.
- Experience coordinating governance committees, executive councils, or board-related activities.
- Familiarity with project coordination, issue tracking, and action item management.
- Experience supporting large-scale meetings, town halls, and leadership events.

COMPENSATION AND BENEFITS
This position is eligible to earn a base hourly rate in the range of $30.29 - $46.15 per hour. Placement within the pay range may differ based upon various factors, including but not limited to skills, experience and geographic location.
