What this job involves:
We are seeking a Program Coordinator to support the implementation and daily operations of employee commute and transportation programs. In this hands-on role, you'll serve as the central coordination point for shuttle and van pool operations, ensuring seamless transportation services for employees while managing schedules, maintaining service records, and providing exceptional customer service to commuters seeking information about commute options. You'll coordinate driver schedules, manage dispatch and radio communications, distribute transportation passes and permits, and support parking management initiatives including data collection and monthly metrics reporting. This role requires strong organizational skills, excellent customer service, and the ability to manage multiple priorities in a dynamic environment. The ideal candidate is warm and engaging, comfortable meeting new people, and brings a proactive approach to both routine and non-routine situations. You'll play a vital role in supporting sustainable commute programs while ensuring safe, reliable, and efficient transportation services for our client's employees.
What your day-to-day will look like:
- Coordinate shuttle and van pool driver schedules while managing dispatch and radio communication with drivers to ensure timely, efficient transportation services
- Keep transportation logs and service records as required while confirming vehicles are cleaned daily including routine car washes to maintain service quality standards
- Train and guide new or relief personnel in driver duties and procedures where appropriate, ensuring consistency in service delivery and safety protocols
- Provide timely and friendly customer service to commuters and employers seeking information about commute options, serving as the first point of contact for transportation inquiries
- Coordinate and deliver transportation for on-site events and/or other events and specialized outreach to client employees, ensuring seamless event transportation logistics
- Coordinate distribution of transportation passes, Carpool Permits, and Bus schedules while maintaining accurate records of distribution and usage
- Support parking management duties including collecting parking data, compiling monthly metrics, and assisting in the development and implementation of new parking programs
- Manage warehouse operations related to transportation materials, able to lift and move boxes weighing 30-50 lbs and operate a two-wheel dolly as needed.
Required Qualifications:
- High School Diploma or GED and 1-2 years of experience in transportation coordination or related field
- Valid driver's license of type/class required to comply with applicable regulations with excellent driving record
- Basic skills with Microsoft Office Suite products such as Word, Excel, and Outlook for documentation and reporting
- Excellent driving skills with ability to read and interpret road maps and use GPS or other directional devices
- Strong communication skills with ability to comprehend and interpret instructions, short correspondence, and memos and ask clarifying questions to ensure understanding
- Ability to write routine reports and correspondence and respond to common inquiries or complaints from clients, co-workers, and/or supervisor
- Comfortable meeting and engaging with new people with warm and engaging demeanor and ability to assess circumstances, empathize, and offer help
- Good organizational and time management skills with ability to work well under pressure with multiple deadlines
- Physical ability to lift 50 lbs and assist with warehouse operations as needed
- Ability to work flexible work schedules based on business need including early mornings, evenings, or weekends as required.
Preferred Qualifications:
- Experience and understanding of local transportation laws and regulations
- Previous experience working in corporate transportation programs or commute management
- Familiarity with shuttle or van pool operations and driver coordination
- Experience with parking management systems and data collection tools
- Ability to work handheld mobile technologies and applications for dispatch and communication
- Strong problem-solving skills with highly adaptable and flexible approach to changing circumstances
- Basic knowledge of financial terms and principles with ability to calculate simple figures such as percentages
- Demonstrated proactive approach to routine and non-routine occurrences with ability to anticipate needs.

Estimated compensation for this position:
60,000.00 – 60,000.00 USD per yearThis range is an estimate and actual compensation may differ. Final compensation packages are determined by various considerations including but not limited to candidate qualifications, location, market conditions, and internal considerations.
