Administrative Assistant

The Administrative Assistant/Receptionist handles customer inquiries in person, on the phone, and through the Company email providing information to the public according to established procedures. The customer's first impression should be that our Company has integrity and is safe and fun. This position is also responsible for computer support, photocopying, filing, mailing, and other clerical duties to support the other staff members in a busy office environment.

Requirements

Essential Functions

  • Extend courtesy, friendliness, and hospitality in full measure to every person.
  • Answer multi-line telephone to assist the public with tours, attractions, and tourism-related information. Direct calls to the appropriate person or screen calls as directed. Take and deliver messages to the appropriate person.
  • Respond to Company email for general information inquiries and direct emails to the appropriate person.
  • Be knowledgeable of Company products and services and local tourism-related information to provide accurate information.
  • Operate office equipment, including copiers, facsimile machines, and computers; input and retrieve data and text. Distribute facsimiles to the appropriate person.

Required Knowledge, Skills, and Abilities

  • Ability to work independently over long periods of time within the scope of established rules and regulations.
  • Knowledge of administrative and clerical procedures and systems such as word processing, spreadsheets, emails, managing files and records, and other office procedures and terminology.
  • Ability to maintain good working relationships with customers, employees, and department staff.
  • Professionally maintain composure and effectiveness under pressure and changing conditions.
  • Effective oral and written communication skills, including the ability to clearly express thoughts to others and exchange information.
