About the role

Halter is growing fast, and our Auckland office is buzzing. As our Receptionist, you are the first person that everyone experiences when they walk through our doors - and that experience matters to us.

You're the person who greets a candidate and makes them feel like they belong here before the interview starts. The one who clocks a visitor arriving and has already notified their host. The one who makes sure the entry is calm and welcoming at 8am even when the rest of the office is moving at pace.

This is not a passive role. It is a high-ownership, high-visibility position for someone who takes genuine pride in the details - the kind of person whose best work means everyone else feels looked after. You'll be the connection between the front door and the rest of the business, handling everything from visitor management to mail to the steady stream of random requests that come your way.

With around 300 people in the office and a constant flow of visitors - customers, investors, candidates, partners - the bar for this role is high. You'll sit within our Operations team, working closely with our Office Operations function as part of a cohesive, high-performing team.

What you'll do

Front of house & visitor experience

You are the owner of the first impression. Every visitor - whether it's a candidate or a board member - is greeted with warmth and professionalism. You manage the sign-in process, issue visitor passes, notify hosts, and make sure no one is left waiting and wondering.

  • Maintain a visitor schedule/tracker so you always know who's coming in and when

  • Send pre-arrival comms to important visitors as needed (directions, parking, wifi, what to expect)

  • Build out a VIP welcome checklist for board members, investors, and key customers - ensuring a consistent, elevated experience every time

  • Own the visitor feedback loop

Mail & Deliveries

You own the flow of everything that comes into and out of the building. Mail sorted, packages signed for and distributed, couriers coordinated. Sounds simple, but when you're doing it well, no one ever has to chase a parcel or wonder where something went.

Meeting Room Coordination

You keep on top of room bookings and make sure spaces are set up and ready. You spot conflicts before they become problems and sort them without being asked. When a meeting needs catering, you've got it handled.

  • First responder for meeting room and AV troubleshooting, you fix it or escalate it fast

  • Ensure rooms are reset between meetings (screens off, whiteboards cleared, chairs pushed in, tidy and clean)

  • Flag recurring room issues to Office Ops to fix at a systems level

New starter first-day experience

  • Coordinate desk setup, building access, and welcome pack for new starters

  • Ensure a new starter's physical "day one" experience is seamless. The People team own the onboarding content, you own the in-office moment

Building access & security passes

  • Issue and manage building access cards for staff and visitors

  • Maintain the access log and liaise with building management on access issues

  • Own the process for deactivating passes when people leave

Internal comms & office signage

  • Keep screens or posters etc in common areas current and relevant

  • Own way finding and signage for visitors navigating the office

You'll do well here if you

  • You notice what needs doing before anyone asks - the kitchen that needs tidying, the meeting room that wasn't set up, the visitor standing at the door looking lost

  • You take genuine pride in the experience you create. The details matter to you, and it shows.

  • You stay calm and warm even when it's busy - because busy is our normal.

  • You communicate clearly and close the loop. If you say you'll sort something, it gets sorted.

  • You hold yourself to a high standard regardless of whether anyone is watching.

  • Experience in a front-of-house, reception, administration, or customer-facing role

  • Exceptionally organised - you hold a lot of moving pieces and still catch the details

  • Warm, confident communicator who engages comfortably with everyone from new starters to senior visitors

  • Tech-savvy and quick to pick up new tools or systems

  • Self-motivated and internally driven - you don't need to be chased to perform at your best

  • You care about the people you work with and the experience you're creating
