The Role
Novellia is looking for a highly responsive, resourceful Executive Assistant to support our CEO. This is not a standard 9-5 support role. Our CEO's schedule frequently extend into early mornings and evenings, and we need someone who can match that rhythm. It’s important this role stays reachable outside standard business hours and treating time-sensitive requests with urgency, regardless of when they land.
Beyond responsiveness, this person needs to genuinely understand our business well enough to prioritize and represent the CEO appropriately, and know New York City well enough to book restaurants, coordinate meeting locations, and make sound judgment calls on venues and logistics without heavy guidance.
Key Responsibilities
Calendar Management — Own and manage complex calendars for the CEO and other members of leadership, including scheduling in-office interviews and internal/external meetings, resolving conflicts, and proactively flagging scheduling issues before they become problems.
Travel Arrangements — Plan and book all travel logistics (flights, hotels, ground transportation) for the CEO, adapting quickly to last-minute changes.
Meeting & Dinner Coordination — Book meetings, client dinners, and other engagements across NYC, using strong local knowledge to select appropriate venues and manage reservations.
Responsive Communication — Be reliably reachable and responsive to the CEO's requests outside standard business hours (early AM / late PM), given the nature of his schedule and outreach patterns.
Business Context & Judgment — Understand enough about Novellia's business, priorities, and key relationships to make informed decisions on the CEO's behalf and prioritize competing requests appropriately.
Maintain confidentiality — Handle confidential and sensitive information with discretion and sound judgment, maintaining the highest level of trust and professionalism.
Values-Driven Communication — Act as a cultural ambassador in all interactions, embodying Novellia’s values through clear, thoughtful, and respectful communication with employees, candidates, and external partners.
What We're Looking For
Proven experience as an Executive Assistant supporting a senior executive (CEO/Founder experience strongly preferred), ideally at a startup or fast-paced company.
Deep familiarity with New York City: restaurants, venues, neighborhoods, and logistics; with the judgment to make strong recommendations independently.
Demonstrated ability and willingness to be responsive outside traditional business hours, including early mornings and evenings.
Strong organizational skills with experience managing complex, shifting calendars for multiple stakeholders.
Experience coordinating domestic travel arrangements.
Excellent judgment, discretion, and the ability to represent the CEO professionally in written and verbal communication.
Comfort operating in ambiguity and adapting quickly as priorities shift.
