POSITION SUMMARY:

The Import Transportation Coordinator independently manages international air and ocean import shipments from origin through final delivery. Serving as a primary operational contact for customers, overseas partners, carriers, truckers, warehouses, customs brokers, and internal teams, this role ensures shipment visibility, operational accuracy, compliance, and service excellence. The Import Transportation Coordinator exercises sound judgment, operational ownership, and proactive problem-solving to support business objectives and deliver a high level of customer service.


DUTIES & RESPONSIBILITIES:

  • Serve as the primary operational contact for customers and partners, providing proactive shipment updates and issue resolution.
  • Maintain shipment visibility and communicate delays, exceptions, and delivery milestones in a timely manner.
  • Identify transportation solutions that balance customer requirements, service expectations, and cost efficiency.
  • Support customer satisfaction through responsive service and proactive management of shipment risks.
  • Coordinate international air and ocean import shipments from booking through final delivery.
  • Manage shipment documentation, customs clearance coordination, dispatching, and delivery scheduling.
  • Maintain accurate shipment records, milestones, and operational data within CargoWise and related systems.
  • Ensure compliance with customer SOPs, operational procedures, and service standards while supporting continuous improvement initiatives.
  • Investigate and resolve shipment delays, documentation discrepancies, billing issues, and service failures.
  • Implement corrective actions to minimize operational disruptions, storage, demurrage, detention, and additional costs.
  • Analyze transportation challenges and develop practical solutions to meet customer and operational requirements.
  • Escalate high-risk or customer-sensitive situations appropriately while maintaining accountability for resolution.
  • Partner with customers, overseas offices, Customs Brokerage, Domestic Operations, carriers, warehouses, and other stakeholders to support shipment execution.
  • Communicate operational updates, delivery requirements, and service exceptions clearly and professionally.
  • Support cross-functional initiatives that improve service, efficiency, and operational consistency.
  • Assist with onboarding, training, and mentorship of less experienced team members when requested.
  • Complete file rating, billing audits, P&L reconciliation, and invoice finalization within established timelines.
  • Ensure shipment documentation, billing information, and operational records are accurate and complete.
  • Support operational profitability through cost awareness, accurate billing, and reduction of preventable transportation expenses.
  • Maintain compliance with company standards, customer requirements, and financial controls.
  • Perform other duties as assigned.

  • Successfully coordinates international air and ocean shipments from booking through final delivery.

  • Proactively identifies and resolves shipment issues while minimizing service disruptions and unnecessary costs.
  • Ensures billing accuracy, file completion, and financial compliance within established timelines.
  • Independently manages complex shipment requirements while contributing to team success and continuous improvement.


SKILLS & QUALIFICATIONS:

Technical Skills:

  • Proficiency in CargoWise and transportation management systems.
  • Strong understanding of international air and ocean import operations.
  • Knowledge of import documentation, customs clearance coordination, and transportation processes.
  • Ability to utilize carrier portals, tracking tools, and operational reporting systems.
  • Proficiency in Microsoft Office Suite, including Excel, Word, and Outlook.

  • Strong organizational, analytical, and problem-solving abilities.
  • Excellent verbal and written communication skills.
  • Ability to prioritize workload and manage multiple deadlines in a fast-paced environment.

Required Qualifications:

  • High school diploma or equivalent.
  • 2–3 years of experience in international transportation, freight forwarding, logistics, or supply chain operations.
  • Experience coordinating international air and/or ocean import shipments.
  • Strong customer service, organizational, and communication skills.
  • Preferred Qualifications:
  • Associate’s or Bachelor’s degree in Supply Chain, Logistics, Business, or a related field.
  • Experience using CargoWise or similar transportation management systems.
  • Knowledge of customs clearance, import documentation, and international transportation regulations.


OFFICE / WORK ENVIRONMENT & PHYSICAL DEMANDS

This position operates in a professional office environment (and/or remotely from a home office) with a quiet to moderate noise level and routinely requires the use of standard office equipment such computers, photocopying machines and storage/filing cabinets. This is a largely sedentary role, however, lifting items under 25 pounds as well as the ability to bend, stand and walk short distances may be required. 

 

Travel Requirement: Less than 10%
