Order Management Specialist

As the Order Management Specialist  in Cluj-Napoca, you will be responsible for managing a dedicated portfolio of customers, ensuring timely and accurate order execution while delivering a high standard of customer experience. Acting as a single point of contact, you will proactively monitor order progress, communicate updates, and collaborate with internal teams to ensure customer expectations are consistently met.

In This Role, Your Responsibilities Will Be:

·  Act as a single point of contact for a dedicated customer portfolio, ensuring a consistent and high-quality experience 

·  Review and manage customer orders in ERP and CRM systems, ensuring data accuracy and completeness 

· Proactively communicate order status updates, changes, and potential delays to customers 

·  Monitor order progress and collaborate with internal teams and factories to ensure timely delivery 

·  Handle customer inquiries, complaints, and after-sales issues, ensuring resolution through cross-functional collaboration 

·  Ensure accurate documentation, order acknowledgments, invoicing, and compliance with agreed delivery terms 

·  Support dispute resolution, credit/rebilling processes, and collaboration with finance and collections teams 

·  Contribute to process improvements, maintain accurate records, and support knowledge sharing within the team.

For This Role, You Will Need:

· Proficiency in French and English (written and spoken) and confidence using ERP systems (e.g., Oracle, SAP)

·  Experience in order management, customer service, or a similar operational role in a fast-paced environment 

·  Strong customer orientation and ability to deliver high-quality service across the full order lifecycle 

·  Excellent communication, collaboration, and problem-solving skills across cross-functional teams 

·  Strong organizational skills with the ability to prioritize, manage workload, and handle multiple variables effectively

 

Preferred Qualifications That Set You Apart:

· Experience in a shared services or multinational environment 

·  Exposure to manufacturing, industrial, or technical product environments 

·  Knowledge of additional European languages 

·  Familiarity with dispute resolution, invoicing, or trade compliance processes
