🚨 We're Hiring: Global Trade Processor Senior
📍 Location: Hyderabad India - Hybrid
🕒 Full-Time | Permanent Position

Job Description

The Customer Service & Export Operations Executive is responsible for managing end-to-end order processing, export documentation, customer coordination, and logistics follow-up. The role ensures smooth execution of customer orders from Purchase Order (PO) receipt to final document delivery, including handling Letter of Credit (LC) processes and SAP order management.

Key Responsibilities

1. Order Management & Customer Coordination

  • Receive and review customer Purchase Orders (PO).
  • Create Sales Orders (SO) in SAP and generate Order Confirmation.
  • Send Order Confirmation to customers and share with the plant.
  • Verify key order details: 
  • Payment terms
  • Incoterms
  • Port of Destination (POD)
  • Pricing accuracy
  • Handle credit block issues by coordinating with the Credit Control team.

 2. SAP Operations (Order Processing)

  • Create and maintain Sales Orders using SAP (VA01/VA02).
  • Input and validate: 
  • Material codes
  • Quantity conversions (e.g., BAG to KG for China plant)
  • Delivery dates based on P
  • Maintain accurate order data including: 
  • Shipping conditions (Marine / FCL)
  • Order reason codes
  • Customer-specific shipping instructions
  • Generate packing lists and manage delivery outputs.  

3. Logistics & Shipment Coordination

  • Coordinate with plant for Shipping Letter of Instruction (SLI).
  • Liaise with forwarders to obtain: 
  • Ocean freight details
  • Sailing schedules
  • Communicate shipment details (ETD, ETA, carrier, pickup date) to customers for approval.
  • Confirm booking with forwarder after customer approval.
  • Monitor shipment status and proactively update customers on delays or changes.

 4. Export Documentation Handling

  • Manage and track all shipping documents: 
  • Bill of Lading (BL)
  • Certificate of Analysis (COA)
  • Certificate of Origin (COO)
  • Insurance Certificate
  • Invoice & Packing List
  • Review draft documents from forwarders and share with customers for confirmation.
  • Ensure accuracy and completeness before finalization.
  • Collect and distribute final documents to customers in softcopy/hardcopy.

5. Certificate & Compliance Coordination

  • Coordinate with plant for COO draft preparation.
  • Obtain customer approval on Coo drafts.
  • Ensure timely dispatch of original CO and share courier tracking.
  • Maintain compliance documentation and coordinate with internal compliance teams.

 6. Letter of Credit (LC) Management

  • Prepare Proforma Invoice (PI) for LC application.
  • Review LC drafts and provide feedback to customers.
  • Coordinate with Bank of America (BOA) for LC issuance.
  • Update LC details in SAP and shipping instructions.
  • Handle LC discrepancies and obtain customer acceptance when necessary.
  • Prepare and submit required document sets to the bank.

 7. Pre-Sales & Inquiry Support

  • Respond to customer enquiries and check pricing validity in SAP.
  • Coordinate with plant for: 
  • Raw material availability
  • Freight estimation
  • Support commercial team with quotation inputs.
  • Create preliminary Sales Orders (with delivery/billing blocks if required).

 8. Documentation Dispatch & Tracking

  • Prepare complete shipping document sets per LC or customer requirements.
  • Dispatch original documents to banks/customers.
  • Share tracking numbers and maintain dispatch records.
  • Ensure timely communication of courier updates.  

9. Internal Coordination

Work closely with: 

  • Sales/Commercial teams
  • Plant/Production teams
  • Freight forwarders
  • Banks and insurance agents
  • Compliance and credit control teams

 Key Skills & Competencies

  • Strong knowledge of export documentation and international trade
  • Hands-on experience in SAP (SD module preferred)
  • Good understanding of Incoterms and logistics processes
  • Experience with Letter of Credit (LC) processes
  • Excellent communication and coordination skills
  • High attention to detail and accuracy
  • Ability to multitask and meet deadlines

 Preferred Qualifications

  • Bachelor’s degree in Logistics, Supply Chain, Business Administration, or related field
  • 2–5 years of experience in export operations/customer service
  • Experience in chemical/manufacturing industry (preferred)

  • Familiarity with shipping documentation and compliance requirements
  • Ability to work with cross-functional and international teams
  • Proficiency in MS Office and SAP systems
