What You Will Be Doing:

Record Management & Data Integrity

In this role, you will maintain and update patent records in Anaqua, keeping all data accurate, complete, and up to date. You will conduct regular audits to find and fix discrepancies. Review and verify all matter details, including file reference numbers, application titles, key dates, and status updates for US and foreign matters. You will also promptly upload and coordinate prosecution documents such as filed applications, Office Actions, responses, formal documents, and correspondence. Ensure task workflows are updated and closed appropriately after key prosecution achievements.

Inventor Information & Documentation

Confirm and update inventor contact information in Anaqua records. Track, collect, and verify inventor-signed documents to ensure all signatures are acquired, complete, and promptly uploaded. Work with internal collaborators and outside counsel to gather any missing or incomplete inventor signatures. Make sure all signed documents are accurately filed to support the internal patent award process.

Data Review & Quality Control

Perform routine data quality checks across Anaqua to ensure consistency and completeness. This includes cross-referencing Anaqua data against outside counsel reports and correspondence to identify discrepancies. Flag and raise any missing, inconsistent, or potentially inaccurate records to the responsible attorney or case manager. Maintain organized and comprehensive prosecution records, including DAS codes, continuation/divisional filing decisions, and abandonment records.

What we need to see:

  • 2+ years of experience working with Anaqua or a similar IP management/docketing system (e.g., CounselLink, Patricia, or similar platforms).

  • Bachelors degree or equivalent experience.

  • Background in IP administration, patent prosecution support, or legal records management.

  • Strong attention to detail and dedication to data accuracy.

  • Ability to manage and prioritize a high volume of records across multiple matters simultaneously.

  • Good communication skills for coordinating with outside counsel, inventors, and internal collaborators.

Ways to stand out from the crowd:

  • Prior experience specifically with Anaqua record management and workflow administration.

  • Knowledge of US and international patent prosecution procedures and related documentation.

  • Experience tracking and managing inventor declaration and assignment signatures.

  • Proactive approach to identifying and resolving data quality issues before they advance.

  • Strong organizational skills with a methodical, structured working style.

Your base salary will be determined based on your location, experience, and the pay of employees in similar positions. The base salary range is 84,000 USD - 143,750 USD.

You will also be eligible for equity and benefits.
