Role Overview:

BBN’s Collaborative Administration Group, called POST (Professional Office Support Team) has an opening for a Full time Administrative Associate who will provide administrative support for professional, technical and engineering co-workers at various levels. This is an on-site role, located in Arlington, Virginia.

What You Will Do:

  • Provide administrative support to the group’s senior leader and employees; primarily located or assigned to the Business Unit (BU) in BBNs Arlington, VA office.
  • Answer main phone line direct calls and take calls from a multipoint phone system.
  • Serve as backup for administrative support to another location when required.
  • Collaborate and support all other administrative teams within the RTX BBN organization when necessary.
  • Register and greet visitors in accordance with company requirements in approved Visitor Management System
  • Receive packages, enter goods receipts when required and coordinate pickups.
  • Maintain security protocols for the front desk area.
  • Provide all reception duties including maintaining the front lobby area and surroundings.
  • Maintain tidy kitchens and supply areas.
  • Ordering office, kitchen, maintenance supplies as needed and maintaining inventory log.
  • Escort visitors when necessary.
  • Maintain senior leader calendar for meetings, events, vacation, and travel.
  • Answer routine questions on policies and procedures as it relates to the administrative performance, including expense reporting, group meals, etc.
  • Coordinate internal meetings and functions, including arranging for visitors and ordering catered food.
  • Facilitate meetings and drive slides or other material for zoom and/or in-person formats.
  • Create and process trip/expense reports and vendor check reimbursements.
  • Maintain log and track ongoing and outstanding travel claims.
  • Arrange/assist with travel reservations as necessary.
  • Arrange, schedule, and track interviews for potential new hires.
  • Handle new employee onboarding requirements as needed.
  • Coordinate, assist and potentially generate export paperwork requirements as necessary.
  • Coordinate office moves within the Business Unit when required.
  • Support Environmental, Health and Safety (EHS) initiatives and quarterly audits within designated areas.
  • Assist in maintaining company document repositories.
  • Coordinate and participate with other administrators across the business to build rapport and foster a unified environment.
  • Provide support, guidance and/or drive for evolving business changes, process improvements and the like.
  • Support government property inventory barcoding, tracking, and periodic audits.
  • Perform other administrative and clerical duties as assigned.

Qualifications You Must Have:

  • HS Diploma or AA/AS degree (or other 2-year post high school training) with a minimum of 4 years of relevant experience.
  • Experience in Microsoft Office 365 applications.
  • Physical requirements include ability to lift, carry or move 27lbs on own. Ability to push, pull, lift for office/conference set ups.
  • This position requires a U.S. Person who is eligible to obtain any required Export Authorization.

Onsite: Employees who are working in Onsite roles will work primarily onsite. This includes all production and maintenance employees, as they are essential to the development of our products.

The salary range for this role is 47,700 USD - 90,900 USD. The salary range provided is a good faith estimate representative of all experience levels. RTX considers several factors when extending an offer, including but not limited to, the role, function and associated responsibilities, a candidate’s work experience, location, education/training, and key skills.

Hired applicants may be eligible for benefits, including but not limited to, medical, dental, vision, life insurance, short-term disability, long-term disability, 401(k) match, flexible spending accounts, flexible work schedules, employee assistance program, Employee Scholar Program, parental leave, paid time off, and holidays. Specific benefits are dependent upon the specific business unit as well as whether or not the position is covered by a collective-bargaining agreement.

Hired applicants may be eligible for annual short-term and/or long-term incentive compensation programs depending on the level of the position and whether or not it is covered by a collective-bargaining agreement. Payments under these annual programs are not guaranteed and are dependent upon a variety of factors including, but not limited to, individual performance, business unit performance, and/or the company’s performance.
