Senior Workplace Service Coordinator

Join us as a Senior Workplace Service Coordinator and help us do what we do best: propelling business forward. This will be a full onsite role working in our Belen Costa Rica office.
In this role, you will:
- Facilities Management - Manage facilities and office services including building systems, cleaning services, business equipment services contracts, delivery of materials and services, purchasing equipment including office equipment maintenance, repair coordination, and office supplies & stationary
- Transport and parking – help coordinate access to the parking lot, and ad-hoc transportation needs
- Reception, Access, badging and ensure Office Security remain compliant with workplace safety expectations
- Mail and Courier Management
- Meeting / training - Manage and coordinate meetings, trainings and manage / maintain the conference areas in the office
- Coordinate office moves, the installation of new furniture and services, and office improvements such as signage, branding and painting
- Repairs and maintenance support – ensure coordination of all necessary actions, including vendor and property management engagement and scheduling of repairs and maintenance
- Food and beverage services - catering services, vending services such as coffee machines, water dispensers, etc.
- Event Support - Internal events Support and coordination based on set requirements for the event and following internal rules of engagement
- Align with the Corporate Sustainability Policy, proactively identify sustainable alternatives, and promote sustainability programs.
- Work with Occupational health to develop, implement, and manage health and safety program within the office space
- Bring new ideas and innovation to current processes and solutions
- Deliver an exceptional customer and colleague experience and partner with other Support Groups for solution development and seamless delivery of office initiatives.
- Ensure Costa Rica Office project initiatives are executed according to plan, aligned with BU expectations and in accordance with service level agreements and key performance indicators.
- Help define, plan, implement, measure, and improve office space.
- Suggest achievable solutions for business partners, adjusting as necessary based on changing circumstances
- Serve as a trusted partner to the Costa Rica Leadership Team while collaborating effectively across cross-functional teams to support business objectives, drive workplace initiatives, and deliver an exceptional employee experience.
- Support additional tasks, initiatives, and special projects as assigned, demonstrating flexibility, collaboration, and a commitment to delivering exceptional workplace experiences.
Your background:
- Solid English communication skills and the ability to communicate effectively at all levels
- Solid relationship skills and ability to convey warmth and hospitality, Highly collaborative, balancing multiple internal stakeholders and external parties such as vendors, landlords and other service providers.
- Minimum 5 years of experience in a similar role
- Proactive self-starter with flexible attitude,
- A college degree in Business Management, Facilities management desirable.
- Working knowledge of Excel, Word and PowerPoint
- Knowledge and experience of budget management,
- Comfortable working in multi-tasking environment with multiple stakeholders, situational ambiguity, project complexity and need for change management
