Supervisor Lease Administration

PURPOSE AND SCOPE:

Provides supervision, direction and oversight to FMCNA's Lease Audit function which is responsible for auditing lease related charges, analysis, and efficiency planning for all facility leases managed throughout the organization. Ensures alignment with Company goals, objectives and strategic vision. Responsible for administering and managing all Common Area Maintenance (CAM) charges and determining if charges are compliant with lease agreements. Initiates the process to collect all monies owed back to Fresenius for overpayments. Responsible for ensuring estimated payments are reasonable and as close to the actual amounts as possible. This position takes the lead in partnering with FMCNA legal and component business management to ensure leases are structured to protect FMCNA by ensuring the right to audit exists and that FMCNA is only responsible for reasonable and customary costs. The role is also responsible of managing the cost efficiencies for the facility lease portfolio. Adheres to the FMCNA Compliance Program, including following all regulatory and FMCNA policy requirements.

 

PRINCIPAL DUTIES AND RESPONSIBILITIES:

  • Assists with investigating, analyzing and resolving new and ongoing leasing issues for operations, legal, finance, and others as necessary.

  • Supervises/directs daily operations of subordinates to complete assignments using established guidelines, procedures, and policies. Provides immediate supervision of a unit or group of employees, assigning tasks, checking work at frequent intervals, and maintaining schedules.

  • Guides the management of staff and provides insight regarding procedures, lease interpretations, and treatment of leasing expenses, ensuring appropriate standard operating procedures are followed and are in compliance with all relevant regulatory and company policies.

  • Maintains close communication with the Director of Lease Finance and Accounting and other departmental and field management as needed to ensure appropriate notification and resolution of lease and operational related issues.

  • Researches and resolves complex issues including those escalated by Lease Analysts.

  • Maintains archive of leasing contracts, amendments, and other leasing documents.

  • Accurately analyzes and interprets lease provisions and researches lease files to verify information.

  • Collaborates with management to design, prepare and distribute reports in a timely and accurate manner, utilizing various software programs. Create various ad-hoc reports, as necessary.

  • Researches, investigates and resolves lease issues. Ensures appropriate action is taken to resolve issues involving lease disagreements as needed.

  • Enforces compliance to lease provisions.

  • Assists with Sarbanes Oxley reporting and other requirements.

  • Upholds FMCNA policies and procedures and ensures compliance with Sarbanes Oxley, and other applicable Federal, State and local regulations.

  • Performs other related duties as assigned

SUPERVISION:

  • Typically supervises non-exempt staff (includes but is not limited to Lease Auditor and Senior Lease Auditor).

EDUCATION AND REQUIRED CREDENTIALS:

  • Bachelor's degree in Accounting, Finance, or Business Administration or equivalent relevant experience.

  

EXPERIENCE AND SKILLS:

  • 5+ years of related experience, or 1-3 years experience as a Supervisor or an equivalent combination of education and experience.

  • Accounting, lease administration, or finance background

  • Ability to understand, interpret and abstract Lease terminology.

  • Relevant experience in a fast paced, multi-project, operational environment.

  • Strong communication skills - written and verbal.

  • Ability to meet deadlines.

  • Detail oriented.

  • Dependable & reliable.

  • Knowledge of Microsoft's Office Suite as well as using SAP (a plus but not required).

  • Candidates with a strong customer service focus combined with a team work ethic will do well.

The rate of pay for this position will depend on the successful candidate’s work location and qualifications, including relevant education, work experience, skills, and competencies.

Annual Rate: $79,000.00 - $133,000.00
