JOB SUMMARY
Responsible for supporting the maintenance of the document management system for recordings and presentations and coordinating general document control processes.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Maintains practical knowledge of applicable regulatory requirements.
- Participates in internal audits and external regulatory inspections.
- Participates in the training of colleagues on the requirements surrounding documentation and records management.
- Communicates best practices to staff during department meetings and assists in group training as directed by the Manager.
- Performs data analysis (monthly metrics), as requested by Senior Management.
- Write, review and update POE related to the collection and storage of documentation.
- Ensures that documentation is up-to-date and available for use.
- Manages the database of reference standards to ensure accuracy.
- Maintains the process of training codes and the publication of new job descriptions within the QMS.
- Receives and coordinates the customer's external documentation.
- Monitors long-term storage of information and data protection and informs the Administration.
- Acts as a point of contact for the recovery of specific documentation, as needed.
- Help with file migrations and auditing to ensure accuracy.
- Coordinates records management activities between plant sites to ensure effective and efficient compliance with all applicable laws and regulations.
- Review and maintain record retention schedules; and participates in compliance with the programs, systems and procedures for managing corporate and site documents and records.
- Maintains and updates records and/or databases used to track records.
- Monitors usage and requirements for all inactive print record storage activities.
- Provides on-site assistance by implementing legal withholdings on cash storage inventory and releases
- Maintains off-site storage recovery integrity controls.
- Provide support to all Safety, Health and Environment (EHS) programs and initiatives in order to support our zero-accident culture.

- Ability to present information effectively and answer questions from groups of managers, customers and the general public.

- Possibility to operate a personal computer, including the use of a Windows-based operating system and related software.
- Ability to write simple correspondence. Read and understand visual aid.
- Ability to apply common sense understanding to perform simple one- or two-step instructions.
- Ability to deal with standardized situations with only occasional variables or no variables.
- Ability to read and understand simple instructions, short correspondence and notes.
EDUCATION & EXPERIENCE REQUIREMENTS
- High School Diploma
- Minimum 6 months of work experience.
