Receptionist / Workplace Concierge
Position Summary
The Receptionist / Workplace Concierge is responsible for delivering a professional and welcoming front-of-house experience for employees, visitors, and business partners. This role manages reception operations, visitor services, meeting room coordination, access administration, workplace support, and facilities-related administrative activities while ensuring compliance with company security and operational policies.
The position serves as the first point of contact for the office and plays a key role in enhancing workplace experience, supporting facilities operations, and maintaining a positive and professional image of the organization.
Key Responsibilities
Visitor & Reception Management
- Greet, register, and assist visitors in a professional and courteous manner.
- Issue visitor badges and maintain visitor logs in accordance with company security policies and procedures.
- Ensure all visitor management activities comply with site security requirements.
- Serve as the primary point of contact for reception and front office inquiries.
- Provide a welcoming and professional experience for all visitors, employees, and business partners.
Front Office Operations
- Maintain the reception and lobby areas in a clean, organized, and professional condition at all times.
- Monitor and replenish reception and lobby supplies as required.
- Ensure front-of-house facilities remain operational and presentable.
- Maintain workplace information and support employee inquiries related to office services and facilities.
Meeting & Conference Room Coordination
- Assist with the management and coordination of meeting rooms and conference facilities.
- Support meeting room bookings and meeting preparations as required.
- Maintain up-to-date knowledge of meeting room locations and scheduled meetings.
- Provide directions and guidance to employees and visitors attending onsite meetings.
- Coordinate with relevant teams to ensure meeting spaces are properly prepared and functional.
Telephone & Communication Support
- Answer incoming calls professionally and promptly.
- Respond to general inquiries and transfer calls to appropriate personnel.
- Provide accurate information regarding office locations, facilities, and workplace services.
- Support communication between employees, visitors, vendors, and facilities teams when required.
Access & Parking Administration
- Administer visitor and employee parking requests.
- Issue, track, and recover temporary access cards in accordance with site security procedures.
- Support access-related processes while ensuring compliance with corporate security policies.
- Coordinate with Security and Facilities teams regarding visitor access requirements.
Administrative & Facilities Support
- Provide administrative support to the Site Facilities Manager (SFM) and Facilities team as required.
- Support workplace events, employee engagement activities, and office-related initiatives.
- Assist with documentation, reporting, records management, and general administrative tasks.
- Support office audits, compliance documentation, and facilities reporting requirements.
- Assist with vendor coordination and service request management.
Finance & Vendor Administration Support
- Support JLL and Facilities finance operations, including Purchase Order (PO) tracking, invoice processing, Goods Receipt (GR) confirmation, and payment follow-up activities.
- Coordinate with vendors and internal stakeholders to ensure timely submission, validation, and processing of invoices and supporting documentation.
- Assist in budget tracking, expense reporting, accrual tracking, and monthly financial reconciliations related to facilities operations.
- Maintain accurate records of facility-related financial transactions and documentation.
- Support month-end and year-end reporting activities in accordance with JLL and client financial procedures.
- Assist with Accounts Payable (AP) activities, invoice matching, audit preparation, and finance-related compliance requirements.
- Support contract administration by maintaining vendor records, contract documentation, and renewal tracking.
- Act as a liaison between vendors, Facilities, Procurement, and Finance teams to facilitate smooth processing of facility-related transactions.
