The Retirement Program Advisor is responsible for the retirement program administration, employee inquiries, vendor coordination, and HRIS data maintenance to ensure employees have a smooth and supported retirement program experience across multiple jurisdictions. This role supports the delivery of compliant, scalable, and employee-focused retirement program. The role partners closely with People & Culture, Payroll, HRIS, Finance, and external providers to maintain efficient benefits processes, support data integrity, and enhance the employee experience through effective program administration and operational excellence. This position plays a key role in supporting benefits governance, reporting, compliance activities, and ongoing process improvement initiatives aligned with organizational growth and workforce needs.

· Bachelor’s degree or higher in Human Resources or closely related field or equivalent professional experience relevant to this position
· Strong attention to detail and ability to manage multiple tasks with competing deadlines
· Extensive benefits administration experience
· Knowledge of government regulations and compliance requirements as they apply to benefit plans, programs or practices, and company policies and operations
· Recent and extensive experience managing external vendor relationships
· Excellent presentation and project management skills
· Experience working with HRIS platforms such as HiBob, ADP, or similar systems
· Strong understanding of benefits processes, employee data management, and
· Ability to manage multiple priorities in a fast-paced, multi-country environment
· Strong communication and stakeholder management skills
· Ability to identify operational inefficiencies and support scalable process improvements
· Experience supporting global or multi-jurisdictional programs is considered an asset
· Manages employee retirement programs including US 401(k) defined contribution plans, Canadian Group RRSP arrangements, and other international retirement programs
· Effectively manages ongoing relationships with retirement plan vendors and recordkeepers (e.g., 401(k) administrators, Canadian group retirement providers) to ensure quality service delivery and cost containment.
· Communicates extensively with internal and external legal counsel on retirement plan compliance, including plan document drafting, amendments, contracts, statements of work, and review of participant communications.
· Evaluates and benchmarks the company's 401(k), RRSP, and other international retirement offerings against industry peers by analyzing plan design, employer match/contribution structures, and survey data; develops specific recommendations to management on plan competitiveness and retirement readiness.
· Ensures company compliance with US retirement plan regulations (ERISA, IRS contribution limits, ADP/ACP testing), Canadian requirements (CRA contribution limits,
pension standards legislation where applicable), and other applicable international retirement/pension regulations.
· Oversees preparation of required regulatory filings, including IRS Form 5500, DOL filings, PBGC filings (for defined benefit plans), and applicable Canadian and other international regulatory reporting.
· Responsible for preparing and distributing required retirement plan communications, including 401(k) plan changes, RRSP/group plan updates, and safe harbor or annual notices; leads retirement communication strategy to promote employee retirement readiness across all jurisdictions.
· Handles retirement plan inquiries and complaints (401(k), RRSP)) to ensure quick, equitable, courteous resolution.
· Lead retirement plan Merger and Acquisition activity
· Oversees maintenance of records for all retirement plans, including contribution history, vesting schedules, and plan documents across US, Canadian, and other international entities

Requirements
· 5-10 years of 401(k) plan management experience and global retirement offerings· Bachelor’s degree or higher in Human Resources or closely related field or equivalent professional experience relevant to this position

- Salaried position.
