Center Administrative Assistant
Overview
Princeton University’s Bendheim Center for Finance (BCF) is at the forefront of research and education in Money and Finance, with the mission to serve our global society. As an interdisciplinary center, it draws its faculty from various departments across Princeton’s campus. New technology has profound implications on the role of money and international financial architecture. BCF aspires to be part of this process by developing and applying novel research tools and methods. BCF’s educational programs equip students with cutting-edge insights and tools. Finally, through its public and policy outreach, BCF aims to bring an important contribution to the broader public and policy debate on macroeconomics, money, and finance.
The overall function of the Bendheim Center for Finance Center Administrative Assistant is to provide administrative support for teaching and research initiatives of the Center. To do so this position will provide support to our full-time and visiting faculty, postdocs, researchers, and students. Additionally, the position will provide support for Center events as well as provide general Center support to the Department Manager, Department Chair, Manager of Career Development and External Relations and the Coordinator of Educational Programs and Events.
This is a position with an on-going academic work schedule of 10 months.
Responsibilities
Responsibilities include (but are not limited to) the following:
- Coordinate international and domestic travel arrangements
- Prepare and process invoices and travel reimbursement forms
- Prepare general center correspondence
- Schedule meetings and maintain appointment calendars
- Assisting with manuscripts, letters, any and all correspondence needed by the faculty.
- Support PhD student job reference letter submission
- Assist faculty with courses using Canvas and check classroom equipment and setup power point slides for visitors.
- Support the Civitas Foundation, PhD and other lecture series; considering more innovative ways to run these programs
- Report directly to the Center Manager with a secondary reporting relationship to the Center Director
- Create reimbursements for guests as needed
- Arrange venue and catering reservations
- Provide and arrange A/V and videography support
- Support the coordination of publicity materials design, marketing outreach through university systems and communications channels; website updates; working closely with the Communications Specialist
- Purchase office and event supplies from various vendors using PeopleSoft Financials and the Credit Card;
- Budget responsibility for center needs approximately $15k
- Maintain monthly report of expenditures as needed by Center Manager.
- Schedule the Classroom, Library and Conference room and keep up to date schedules on the Shared Point Calendar system and center listserv accounts.
Qualifications
Essential Qualifications for this position include:
- 1 - 3 years of relevant experience
- Possess excellent proofreading, and data management skills, strong interpersonal skills, excellent written and oral communication skills, and discretion in dealing with confidential material
- Ability to learn and acquire proficiency in necessary platforms used in the function of the job
- Able to follow through on assignments and meet deadlines
- Take initiative and assume responsibility
- Demonstrate the ability to perform as a team player and work in an open environment with continual interruptions
