Job Summary
Job Title: Equipment Administrative Assistant
S.A. Comunale is seeking an Equipment Administrative Assistant. The primary function of this role is to provide administrative support to the Equipment Logistics Manager and Fleet Department.
This job requires the ability and desire to work in a fast-paced multi-tasked environment with a focus towards administration, organization, reporting, and data management.
Essential Duties & Responsibilities
Primary duties and responsibilities include the following. Other duties may be assigned.
- Provide complete administrative support assistance to the Equipment Manager and Equipment Department.
- Enter invoices after they have been reviewed / approved.
- Email branches for updates and information needed to complete invoices.
- Email vendors for credit memos as needed.
- Complete shipping tabs and print bill of ladings.
- Verify addresses and contact information.
- Data entry to keep spreadsheets updated based on pickups or additional deliveries.
- Scan equipment requests for the branches / departments.
- Scan completed pickups and bill of ladings weekly.
- Enter & scan inspection updates as needed.
- Scan vendor repair invoices.
- Update yard equipment report.
- Backup to Equipment Logistics Manager for services calls and urgent requests.
- Attend any/all necessary meetings.
Qualifications

- High school diploma or GED is required.
- 3+ years of previous administrative or coordinator experience is required.
- Previous experience in the construction or equipment industry a plus
- Excellent time management and sense of urgency if required.
- Proven knowledge of Microsoft Office Applications (i.e. Word, PowerPoint, Excel) is required.
