Position Overview
The Assistant Building Manager supports the Building Manager in overseeing the daily operations, maintenance, and administration of commercial properties. This role ensures buildings are operated efficiently, safely, and in compliance with all applicable regulations while delivering exceptional service to tenants and stakeholders.
Key Responsibilities
Operations Management Assist in managing day-to-day building operations including HVAC, electrical, plumbing, life safety systems, and general maintenance activities. Conduct regular property inspections to identify maintenance needs and ensure compliance with safety standards. Coordinate with engineering staff and contractors to ensure timely completion of work orders and preventive maintenance schedules.
Tenant Relations Serve as a point of contact for tenant inquiries, requests, and concerns, ensuring prompt and professional resolution. Conduct tenant walkthroughs and coordinate move-in/move-out activities. Foster positive relationships with tenants to enhance satisfaction and retention.
Vendor and Contractor Coordination Assist in managing relationships with third-party service providers, contractors, and vendors. Monitor contractor performance to ensure quality work and adherence to building standards. Review and track service contracts and vendor invoices for accuracy.
Administrative Support Maintain accurate records of building operations, maintenance activities, inspections, and incidents. Assist with budget tracking and expense reporting. Prepare reports on building performance, occupancy, and maintenance activities for management review.
Safety and Compliance Ensure compliance with building codes, health and safety regulations, and company policies. Participate in emergency preparedness planning and respond to emergency situations as needed. Conduct regular safety inspections and coordinate required testing of life safety systems.
Financial Administration Assist with budget preparation and monitoring of operating expenses. Review and process invoices and purchase orders. Support lease administration activities including rent collection follow-up and CAM reconciliations.
