Position Summary
Reporting to the Policy Manager, the Policy Analyst supports the Enterprise Policy Management Program (EPMP) by coordinating, maintaining, and continuously improving policy governance processes and supporting technology systems.
This role administers the full policy lifecycle, maintains the organization's policy management software, supports policy owners through the review and approval process, and ensures policies remain current, accessible, and compliant with organizational standards.
Working collaboratively with operational, clinical, compliance, legal, quality, and administrative stakeholders, the Policy Analyst helps promote consistent, efficient, and effective policy governance across the health system while supporting organizational compliance and operational excellence.
Responsibilities
Key Responsibilities
Policy Lifecycle Management
- Coordinate and monitor the full policy lifecycle, including policy intake, development, review, approval, publication, revision, renewal, and retirement.
- Track policy review schedules and proactively engage policy owners to ensure timely completion of required reviews and approvals.
- Maintain policy inventories, metadata, document classifications, naming conventions, and version control standards.
- Review policy submissions for compliance with established templates, formatting standards, and governance requirements.
- Identify duplicate, conflicting, outdated, or obsolete policies and support remediation efforts.
- Maintain audit-ready documentation of policy approvals, revisions, and publication history.
Policy Management System Administration
- Serve as a primary administrator and subject matter expert for the organization's policy management software.
- Configure and maintain workflows, user permissions, document libraries, metadata, notifications, and reporting tools.
- Troubleshoot system issues and coordinate with Information Technology and software vendors as needed.
- Support software upgrades, testing, enhancements, and system optimization initiatives.
- Ensure policy documents are accurately published and readily accessible within the policy management system.
Reporting & Analytics
- Develop and maintain reports related to policy inventory, review compliance, approval cycle times, publication metrics, and other key performance indicators (KPIs).
- Monitor policy management dashboards and identify opportunities for process improvement.
- Provide routine and ad hoc reports to leadership and stakeholders to support governance and regulatory readiness.
- Support audits, accreditation surveys, and regulatory requests through data retrieval and documentation.
Stakeholder Support & Training
- Provide guidance to policy owners and subject matter experts on policy development and governance processes.
- Assist with training on policy lifecycle requirements, governance standards, and policy management software.
- Coordinate policy governance committees, workgroups, and meetings, including agendas, documentation, and follow-up activities.
- Promote consistent application of policy standards and organizational best practices.
Continuous Improvement
- Recommend process improvements to enhance efficiency, compliance, reporting capabilities, and user experience.
- Develop and maintain policy governance procedures, templates, reference guides, and training materials.
- Participate in enterprise initiatives supporting governance, compliance, accreditation, and operational excellence.
Qualifications
Minimum Qualifications
Education
- Bachelor's degree in Business Administration, Healthcare Administration, Public Health, Information Systems, Communications, Nursing, or a related field; or an equivalent combination of education and experience.
Experience
- Two (2) years of experience in policy management, document management, compliance, healthcare operations, governance, quality, records management, or a related field.
- Experience coordinating document review processes, workflow systems, or policy governance activities preferred.
- Experience with policy management, document management, workflow, or governance software preferred.
- Healthcare industry experience preferred.
Knowledge, Skills & Abilities
- Advanced proficiency in Microsoft Word and proficiency in Microsoft Excel and PowerPoint.
- Strong organizational, project coordination, and time management skills.
- Excellent written, verbal, and interpersonal communication skills.
