We are seeking an enthusiastic, organized, and service-oriented Community Ambassador & Meeting Coordinator to join our team. In this dual-role position, you will create a welcoming and inclusive environment for residents, visitors, and guests while ensuring the smooth planning, coordination, and execution of meetings and community events.

Reporting To: Lead Office Services Associate or Client Relations Manager

Pay Rate: $26.50

Key Responsibilities

Community Ambassador

  • Welcome residents, visitors, and guests with a friendly and professional demeanor.
  • Foster a warm, inclusive, and engaging community atmosphere.
  • Provide exceptional customer service by responding to questions, requests, and concerns promptly.
  • Build positive relationships with residents, clients, and team members.
  • Maintain a clean, organized, and inviting reception and common areas.
  • Assist with resident engagement activities and community initiatives.
  • Support day-to-day office and front desk operations as needed.

Meeting Coordinator

  • Coordinate all aspects of meetings, conferences, and community events from planning through completion.
  • Schedule meeting rooms and manage calendars.
  • Prepare meeting spaces, including room setup, audiovisual equipment, and materials.
  • Coordinate catering, refreshments, and vendor services when required.
  • Welcome meeting attendees and provide on-site support during events.
  • Distribute meeting agendas, materials, and post-meeting summaries as needed.
  • Track meeting logistics and ensure follow-up items are completed.
  • Maintain accurate records of meetings, reservations, and event schedules.

Qualifications

  • High school diploma or equivalent; associate's or bachelor's degree preferred.
  • 2+ years of experience in customer service, hospitality, office administration, event coordination, or a related field.
  • Outstanding interpersonal and communication skills.
  • Strong organizational and multitasking abilities.
  • Ability to prioritize tasks and work effectively in a fast-paced environment.
  • Professional appearance and positive attitude.
  • Proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
  • Experience with scheduling software or event management systems is a plus.
  • Ability to work independently while collaborating effectively with a team.

  • Ability to anticipate needs and provide proactive support.
  • Experience working in a community, coworking, hospitality, residential, or corporate office environment.
