What this job involves:

The PDS Operations Support (APAC) role provides comprehensive administrative and commercial operations support to the PDS ANZ Business Development and Commercial teams, with primary focus on facilitating the commercial and legal review function.

Working as part of the JLL Business Services (JBS) function, you will collaborate with onshore/offshore PDS teams to deliver high-quality administrative services across APAC time zones. This role requires exceptional attention to detail, proactive communication skills, strong analytical capabilities for contract comparison work, and the ability to work independently while maintaining strong connections with Australia-based colleagues.

You will support critical commercial review processes including client and vendor agreement analysis, departure tracking, documentation management, and commercial review coordination. Your work will directly contribute to operational efficiency, risk management, and client satisfaction in the ANZ region.

What your day-to-day will look like:

Commercial & Legal Review Support (Primary Focus)

Agreement Review & Analysis

• Review client agreements, vendor contracts, and subcontractor terms against JLL standard templates

• Prepare structured comparison documents highlighting departures from standard positions

• Flag and categorise departures using the risk framework: standard / minor / material / non-standard

• Coordinate queries and clarifications with the onshore commercial team

Tracking & Documentation

• Maintain live register of all agreements under review with status tracking and departure flags

• Distribute weekly status summaries and escalate overdue items

• Maintain comprehensive audit trails for all commercial review decisions

• Ensure compliance with JLL document retention policies

Template & Meeting Support

• Maintain commercial document library including templates, approved variations, and guidance notes

• Prepare agendas, circulate agreements, and draft meeting minutes for commercial review meetings

• Track action items to completion and follow up with stakeholders

Reporting

• Compile monthly summaries of agreements reviewed, departures identified, and outcomes

• Support ad-hoc reporting on commercial risk and contract compliance

General Administrative Support

• Travel & Expenses: Process bookings, coordinate itineraries, manage expense reports

• Meeting Coordination: Schedule across time zones, prepare materials, distribute minutes

• Document Preparation: Format reports and proposals using Microsoft Office 365 and PDF tools

• Communication: Facilitate coordination between offshore and onshore teams

• Quality Assurance: Utilize JLL AI tools and support continuous improvement initiatives

• Make commercial decisions on departures

• Conduct client or vendor negotiation

Essential Requirements:

Experience

• 2–4 years in administrative support with contract administration experience

• Construction, real estate, or professional services background strongly preferred

• Prior commercial review or contract compliance support highly advantageous

Core Skills

• Ability to read and compare contractual language with precision

• Advanced Microsoft Word (document comparison, redlining, track changes)

• Advanced Excel (register management, tracking, reporting)

• Excellent written and verbal English communication

• Exceptional attention to detail and organisational skills

• Experience working across APAC time zones

Technical Proficiency

• PDF editing tools (Nitro/Adobe)

• Document comparison tools (DocuSign Compare or similar)

• CRM systems (Salesforce/Certinia preferred)

• Willingness to adopt JLL AI tools and emerging technologies

Preferred Qualifications:

• Degree in Law, Commerce, Business, or related field

• Paralegal qualification or equivalent legal/commercial support experience

• Familiarity with contract management platforms and professional services environments

Working Arrangements:

This role operates within Australian standard business hours for effective collaboration with onshore PDS ANZ teams. Regular virtual meetings with the Contracts Lead, commercial teams, and legal counsel are expected. Occasional extended hours may be required during peak periods or major bid activities.
