In this role, you will be the operational backbone of a senior leadership team, ensuring seamless day-to-day execution across scheduling, communications, travel, and departmental administration. Your ability to manage competing priorities with precision and professionalism will have a direct impact on the effectiveness of one of Citi's leading institutional businesses. ResponsibilitiesManage the end-to-end calendar of the Head of Securities Finance, Investor Services, coordinating appointments, meetings, receptions, and conference calls at the executive level.Coordinate all travel logistics for senior leadership, including booking arrangements and preparing detailed itineraries and agendas.Process, reconcile, and track expense submissions through the travel and entertainment expense system, ensuring timely and accurate reporting.Prepare, review, and distribute correspondence and briefing materials to support senior leadership ahead of key engagements.Manage supply orders and vendor invoices through the procurement system, maintaining efficient administrative operations across the department.Support ad-hoc projects and reporting requests, adapting quickly to shifting priorities and delivering reliable output under time pressure. Required Qualifications & SkillsDemonstrated experience in office administration within a large-scale, complex organization, with the ability to support senior leadership effectively.Advanced proficiency in Microsoft Office, including Word, Excel, PowerPoint, and Outlook, with the ability to produce polished documents and presentations independently.Clear and concise written and verbal communication skills, with the confidence to liaise professionally across all levels of an organization.Ability to quickly learn and navigate new systems and processes, adapting to changing tools and workflows with minimal ramp-up time.Self-motivated and highly detail-oriented, with a consistent ability to manage multiple priorities accurately and meet deadlines without close supervision.Sound judgement when handling sensitive information, with an understanding of the importance of confidentiality, compliance, and professional conduct in a regulated environment.Bachelor's degree or equivalent professional experience.Beneficial Skills & QualificationsPrior experience supporting senior executives within financial services, banking, Markets or a similarly regulated industry.Familiarity with procurement or expense management platforms, such as travel and entertainment systems or procure-to-pay tools.
