• Liaise with origin offices and arrange forwarding bookings, ensure carrier or co-loader gets utilized with best rate and or transit / service or as instructed by Product and or Manager.
• Clients indent monitoring.
• Registration of straight and handover documents.
• Payment of COD handover documents.
• Tracking ETA of MBL (Master Bill) with shipping lines / local agents for forwarding and clearing shipments, update Cargo Wise 1 and update clients in accordance with their Standard Operating Procedures or as agreed.
• Liaise with clients to keep them regularly informed of shipment status.
• Status Reports to be compiled and e-mailed to customers as outlined in their Standard Operating Procedures or as agreed
• Checking documents for customs clearance request / obtain any documents required.
• Open Seafreight import clearing file. Record any special instructions and submission dates on file cover. Hand complete file to customs broking department for customs clearance.
• Submit clearance documents to carrier prior to relevant carrier cut-off per vessel and follow up on Navis Update.
• Arrange delivery with nominated transporters, based on Rates provided, utilize transporter with best buy rate to maximize profitability.
• Prepare customer Tax invoice prior to delivery and supply all supporting documents in accordance with Operational Finance KPI’s.
• Scan and save full batch of documents to CW1, edocs.
• If any damages reported by the depot/transporter, information must be communicated to client and information must be save to eDocs.
• If cargo is damaged / missing, lodge pro-forma claim with airline / agent / transporter and insurance company. (if customer has insurance through Toll)
• Obtain all relevant documentation and submit priced claim to airline / agent / transporter and insurance company. (if customer has insurance through Toll)
• Make delivery arrangements with customers and ensure regular delivery updates gets provided to consignee until delivery has been finalized. Update Routing and delivery dates in CargoWise1 in accordance with the Data Compliance Key Performance indicators.
• Obtain POD and upload to Edocs.
• Filing of files.
• Reconcile billing, WIPS & Accruals and resolve any queries.
• Resolve Credit operational queries.
• Comply with operational KPI’s, i.e. data compliance, operational finance etc.
• Comply with Operational Health and Safety requirements, i.e. logging one safety conversation monthly.
• Dealing with Port Health, Agricultural authorities, SAPS etc.
• To perform any other duties not defined in the job description as reasonably requested / expected by the Company.
