What you'll do

The Japan Marketing Specialist owns the operational backbone of the Japan Marketing team, ensuring campaigns, emails, webinars, events, content, data, and budget processes run smoothly. In this role, you execute operational tasks while working closely with Japan Field Marketing and Content managers. Your core responsibilities include handling campaign and Jira intake, brief management, list uploads, data hygiene, and email, event, and webinar operations. You will also manage reporting, documentation, purchase orders, invoices for the budget, and vendors for events and content. Additionally, the role involves creating assets using necessary tools and supporting Partner Marketing activities alongside the marketing lead.

 

This position is an individual contributor role reporting into the Japan Marketing Director.

 

Responsibility

 

  • Own campaign intake and Jira ticketing for Japan marketing programs (emails, webinars, 1st/3rd party events, content hosting, newsletters, etc.)
  • Write clear, complete briefs (objectives, audience, KPIs, timelines, assets) and align with Global/APJ Marketing Operations sprint planning
  • Track ticket status across sprints (New / In Progress / Blocked / Completed) and proactively unblock issues by coordinating with global MOPs
  • Maintain an accurate view of all in-flight and upcoming Japan campaigns in shared trackers (e.g., Marketing Ops Sprint Planning)
  • Build, QA, and launch local newsletters, always-on campaigns, one-off email blasts, and webinar/event email streams (invites, reminders, follow-ups) for Japan in collaboration with campaign owners
  • Own operational setup for 1st-party webinars and virtual events (template configuration, registration flows, reminders, attendance tracking), in collaboration with the Field Marketing lead
  • Ensure consistent use of UTM parameters, subscription management, and compliance in all outbound communications
  • Produce email and webinar performance reports (opens, clicks, registrations, attendance, MQL/SQO contribution) and share insights with the Japan Marketing and Sales teams
  • Coordinate lifecycle marketing communications sent to Japan customers, partnering closely with Field Events and Content Marketing stakeholders to align messaging, cadences, and audience targeting
  • Lead continuous improvement of automated lead handoff flows—including A/B testing—through lifecycle nurture programs and in collaboration with global Marketing Operations to improve open and click-through rates while minimizing bounce rates
  • Identify and Support where localization and quality review of marketing content is required (EN → JP), including emails, landing pages, banners, PDFs, event assets, and other marketing materials, ensuring they are on-brand and market-appropriate
  • Identify and support (or draft) where writing and refining Japanese copy for web, email, and campaign assets are required in close partnership with content marketing and field marketing
  • Coordinate and execute content hosting requests (e.g., whitepapers, on-demand sessions) on web properties and landing pages for Japan, working through Jira with global MOPs as needed
  • Support design and production of digital assets (banners, event visuals, PDFs) either hands-on or via external partners, ensuring adherence to Docusign brand guidelines
  • Own list uploads and data flows for Japan campaigns (e.g., content syndication leads, event attendees), ensuring secure handling and accurate mapping into Salesforce.
  • Partner with Sales Ops and XDR to maintain clean, usable campaign data (campaign IDs, campaign member statuses, sources) and support attribution
  • Build and maintain standard reporting views for Japan marketing (by campaign, channel, and program) to support QBRs, All Sales Meetings, and performance reviews
  • Identify issues and bottlenecks in existing lead import and data integration processes, and lead initiatives (including automation and external vendor utilization) to significantly reduce manual effort and shorten import turnaround times
  • Support Japan Marketing budget operations by coordinating PO creation, invoice processing, and vendor documentation for contractors and suppliers (e.g., creative partners, publishers, freelancers)
  • Maintain a clear record of engagements (scope, period, rates, ROI rationale) for Japan Marketing vendors, in partnership with the Marketing Director and Finance
  • Provide input into budget tracking and ensure spend is recorded against the correct cost centers and campaigns
  • Coordinate and execute marketing creative production, manage vendor relationships, and support partner marketing initiatives, working closely with the marketing lead to ensure project alignment and operational excellence

  • Document standard operating procedures for Japan marketing operations (email build, webinar setup, content hosting, list uploads, reporting) to improve consistency and onboarding
  • Identify and implement process improvements to increase efficiency and reduce operational errors (e.g., QA checklists, templates, automation opportunities)
  • Act as the Japan Marketing point of contact for global Marketing Operations on tooling changes, process updates, and pilots impacting Japan
  • Drive shared-service models and process efficiency from a BCP and productivity perspective by leveraging AI tools, workflow automation, approved tools, and external agencies across Japan Marketing operations
  • Use AI tools and automated workflows to streamline marketing processes, improve productivity, and free up capacity for higher-value work (for example, building FAQ-style agents and reusable components)
  • Create and maintain concise operations manuals and FAQs for key Japan marketing workflows to support onboarding, self-service, and consistent execution by marketing stakeholders

Job Designation

Hybrid: Employee divides their time between in-office and remote work. Access to an office location is required. (Frequency: Minimum 2 days per week; may vary by team but will be weekly in-office expectation)

What you bring

Basic

  • 3+ years of experience in marketing, marketing operations, digital marketing, or campaign operations in a B2B environment (preferably SaaS or technology).

  • Hands-on experience with CRM (e.g., Salesforce), Marketing automation / email tools, Event/webinar platforms (e.g., Swoogo or similar), Jira or equivalent ticketing system, illustrator or photoshop preferably

  • Native-level Japanese and working-level English (for collaborating with APJ/Global Marketing Operations)

 

Preferred

 

  • Experience supporting country or regional marketing teams in a matrixed global organization

  • Experience with content localization, copywriting, and/or basic design for marketing assets

  • Familiarity with Docusign’s solutions (eSignature, CLM, IAM) or similar SaaS offerings.

  • Experience working with external vendors and freelancers (briefing, QA, and invoice/PO coordination)

  • Strong problem-solving mindset with a focus on operational excellence and continuous improvement

  • Field/Partner Marketing experience 

  • Proven ability to manage multiple campaigns and requests simultaneously with strong attention to detail and deadlines

  • Comfortable working with data (lists, basic reporting, QA) and ensuring data accuracy
