This role is part of Alcon's Project Management function, a team that ensures all regular and one-off projects are planned, organized, and executed effectively to help our people and the world see brilliantly.The Associate, Project/Program Management is primarily responsible for assisting in planning, executing, and supervising various projects or programs and assisting the VP in planning and coordinating. You will build effective relationships with collaborators, understand project goals, and communicate within the team. You'll also contribute to global project strategies and suggest improvements while you are based in Barcelona. Specifics include:
Assist in project planning, organizing, and controlling functions
Conduct regular meetings with project members to determine progress and address questions or concerns
Create detailed project plans, outlining the schedule, budget, and resources, and assist in developing and monitoring project budgets
Develop an understanding of project scope and objectives
Provide support in identifying and mitigating project risks
Collaborate with all project stakeholders, providing updates on progress, changes, or adjustments, and interact effectively with internal and external stakeholders to ensure deliverables are met
Actively participate in project review meetings and provide input
Facilitate project closure, including documenting and communicating lessons learned
Assisting the VP on calendar and travel management, expense reports, meeting planning and execution
WE ARE SEEKING:
Proven experience in Project and/or Program Management, including executive-level planning, coordination, and support for senior leadership.
Demonstrated experience working in a cross-functional, multinational environment, collaborating with diverse stakeholders across multiple regions and time zones.
Advanced proficiency in English (written and verbal) and fluency in the local language.
A flexible and adaptable mindset, with the ability to manage changing priorities, work across different cultures, and support a variety of business needs.
Excellent communication, interpersonal, and stakeholder management skills, with the ability to build strong collaborative relationships.
Strong problem-solving and critical-thinking abilities, with a proactive approach to identifying and resolving challenges.
Exceptional organizational, planning, and time-management skills, with the ability to manage multiple priorities simultaneously.
Proficiency in Microsoft Office Suite, particularly PowerPoint, Outlook, Teams, and other collaboration and productivity tools.
Experience supporting or partnering with Vice Presidents (VPs) or senior executives is highly desirable.
Nice to have experience coordinating global initiatives, leadership meetings, strategic planning cycles, and executive communications.
