Project Administrator II supports construction projects by managing advanced financial, administrative, and contract processes throughout the project lifecycle. This role partners closely with project management and finance teams to ensure accurate project setup, compliance, financial tracking, and successful project close-out while contributing to team development.

What You'll Do

Contract Administration

  • Review and manage project contracts to ensure compliance with terms and conditions.
  • Coordinate contract changes, amendments, and renewals.
  • Maintain accurate and current contract records.
  • Request and track insurance certificates, tax exemption certificates, and bonds as required.

Project Setup & Coordination

  • Coordinate job bookings with clients and project managers.
  • Ensure accurate project setup, including scheduling, resource allocation, and material procurement.
  • Facilitate change orders, budget revisions, schedule updates, and RFIs.
  • Prepare O&M manuals and support project closeout activities.

Billing, Collections & Financial Management

  • Manage billing processes to ensure accuracy and alignment with project milestones.
  • Support collection efforts and address billing discrepancies in collaboration with the Project Manager.
  • Contribute to budgeting, forecasting, and financial reporting, including project rollouts and projections.
  • Monitor project expenses, identify variances, and support profitability optimization.
  • Track committed costs, purchase orders, and invoice matching to mitigate project risk.

Document Control & Compliance

  • Organize and maintain comprehensive project documentation, including contracts, plans, permits, and correspondence.
  • Ensure document quality, accuracy, and readiness for potential legal use.
  • Maintain confidentiality and manage sensitive information securely.
  • Support processes related to tax-exempt projects and compliance requirements.

Lien Management

  • Identify potential lien situations and initiate lien processes when required.
  • Coordinate with legal counsel and stakeholders to enforce liens and resolve disputes.
  • Maintain detailed lien records and supporting documentation.

Team Support & Development

  • Provide training and mentorship to team members, including new hires.
  • Support the development of team capabilities and promote knowledge sharing.
  • Perform additional duties as assigned.

What You'll Bring

Knowledge, Skills & Abilities

  • Proficiency in Microsoft Office Suite, PDF software (Bluebeam preferred), and project management tools such as Procore.
  • Working knowledge of financial systems, including JDE.
  • Strong understanding of construction contracts, billing practices, and lien laws.
  • Knowledge of client requirements and applicable state, federal, and local regulations, including tax and compliance standards.
  • Strong organizational, communication, and problem-solving skills.
  • Ability to manage multiple priorities independently and collaboratively in a deadline-driven environment.
  • High attention to detail and accuracy.

Demonstrated Accomplishments

  • Demonstrated ability to manage complex project administration processes, including contract compliance and financial tracking.
  • Proven effectiveness in supporting billing, collections, and cost management activities.
  • Experience maintaining organized, audit-ready project documentation and ensuring compliance with regulatory requirements.
  • Track record of contributing to team development through mentorship and training.

Education & Experience

  • Associate degree in Business Administration, Construction Management, or a related field, or an equivalent combination of education and experience.
  • Experience in project administration or a similar role within the construction industry.
  • Familiarity with AIA contract documents preferred.

What You'll Get

Working Conditions:

The majority of the time you will work in a typical office environment.  Occasionally, you may travel to a construction job site. When on construction job sites you will encounter typical construction conditions including extreme temperatures, noise, dust, mud debris, welding, leading edge, trenching, and shoring, sometimes in a confined space.  You may be required to visit multiple locations during any one day.

IME provides an industry-leading comprehensive benefits package.  Full-time employees are eligible to choose from a variety of healthcare coverage options, which become effective the first of the month after hire.  In addition, employees are offered a substantial amount of PTO and are immediately eligible to make contributions to a generously matched and fully vested 401k. 

 

Salary Range: $28.60 - $38.70 an hour

*Final salary and rates are based on education, experience, skills relevant to the role, and internal equity.*

Compensation Range

The anticipated compensation for this position is USD $59,500.00/Yr. - USD $80,500.00/Yr. depending on experience and qualifications.
