The Office Service & Facilities Associate position will be a highly visible point of contact to our internal and external guests in the office and will provide a warm and welcoming office experience. This role will uphold clients' values and will work closely with the Client Service Manager to ensure the office operates efficiently and in excellence daily while consistently. providing the highest level of customer service.

  • Location: Location:. Pittsburgh, PA 15219
  • Schedule: Monday–Friday, 8:00 AM – 5:00 PM
  • Pay Rate: $24.00 per hour

Key Requirements

This is a facilities-heavy role requiring hands-on workplace support.

  • Must be able to lift and move 50–100 pounds (boxes, office equipment, furniture, and supplies).
  • Frequent receiving and moving of deliveries; some items require a two-person lift.
  • Assist with office moves, furniture setup, and workplace reconfigurations.
  • Support IT with equipment moves, installations, and basic troubleshooting.
  • Operate a large movable wall divider in the main conference room; opening and closing requires two team members.
  • Coordinate meeting room setups and catering support (approximately three meetings per week).
  • Must be mechanically inclined and comfortable troubleshooting workplace and facilities-related issues.

Responsibilities

Office & Facilities

  • Manage daily office and facilities operations.
  • Coordinate with building management, security, engineering, and vendors.
  • Submit maintenance requests and support workplace projects.
  • Troubleshoot facility-related issues and coordinate repairs.

Visitors & Vendors

  • Greet visitors and coordinate building access.
  • Manage visitor parking and vendor access.

Conference Rooms & Meetings

  • Manage conference room reservations and setups.
  • Coordinate catering orders, setup, and breakdown.
  • Ensure meeting spaces are prepared and fully operational.

Office Operations

  • Process mail, packages, courier requests, and certified mail.
  • Order business cards and office supplies.
  • Support office events and employee requests.
  • Maintain conference rooms and common areas throughout the day.

Security & Access

  • Manage employee and visitor access badges.
  • Coordinate onboarding and offboarding access with building security.

Qualifications

  • 1–2 years of experience in office services, facilities, hospitality, or workplace operations.
  • Strong customer service and communication skills.
  • Mechanical aptitude and hands-on problem-solving ability.
  • Basic technology troubleshooting experience preferred.
  • Proficiency in Microsoft Office.
  • Strong organizational skills and attention to detail.
  • Ability to multitask in a fast-paced corporate environment.
