POSITION SUMMARY

Contractor shall provide administrative services support associated with the U.S. Department of Energy, Berkley Site Office.

ESSENTIAL JOB FUNCTIONS

  • Provide contract administration support to Contracting Officers such as:
    • Assist with Contract FAR and DEAR clause updates.
    • Prepare Language Modifications
    • Prepare Modifications Checklist, Memo to File, and Continuation Pages for Language Modifications.
    • Update Conformed Contract each time a Modification is finalized
    • Update Contract Modifications History Spreadsheet
    • Prepare and execute Funding Modifications in STRIPES
    • Track LBNL Gifts by recording in BSO Gifts Log
  • Manage and maintain administrative databases to include structure and content (ie: SharePoint)
  • Provide records management and archival support to BSO, which includes:
    • Convert all paper records into electronic format.
    • Administer Records filing and disposition.
    • Research NARA and DOE Disposition schedules and analyze to determine appropriate records disposition.
    • Create and update Records Inventory Disposition Schedule (RIDS) for Site Office (BSO File Plan). File correspondence electronically in SharePoint.
    • Archive documents to Federal Records Center using the Archives and Records Centers Information System (ARCIS).
    • File incoming/outgoing documents using the SharePoint electronic database system
    • Research/ locate letters and documents for staff.
  • Provide correspondence, reports, and graphic presentation support to BSO staff using BSO Correspondence Guidelines.
  • Provide conference calls/video conferences set ups including coordinating with participants
  • Ensure Senior Level Management meetings are managed and coordinate with outside partners. Assist with preparing travel authorizations, making travel reservations, and processing vouchers upon completion of travel.

EDUCATION/TRAINING

  • High school diploma or GED is required.
  • An associate's degree is preferred.

EXPERIENCE

  • 2-3 years of relevant Administrative Support. Experience in supporting a team of Executive Leadership is preferred.
  • Polished verbal and written communication skills
  • Ability to use computer systems, Microsoft Office software (Word, PowerPoint, Excel, Outlook)
  • Ability to prioritize, multitask, and meet deadlines
  • Knowledge of record management best practices and procedures
  • Strong written and verbal communication skills with the capability of facilitating, briefing, speaking, and writing compelling papers/products. Exceptional organizational skills, ability to manage multiple concurrent tasks.
  • Ability to work cooperatively, collaboratively, and respectfully with people inside and outside the organization to achieve mission goals.
