Job Role: Senior Systems Engineer/Automation Engineer

Compensation range: $3,000 AUD - $5,500 AUD / Monthly

Engagement type: Independent Contractor Agreement

Work Schedule: This role is expected to align with the AU business hours (approx. 9 AM - 5 PM, Monday to Friday) for collaboration, but as a contractor, you’ll have flexibility in how you manage your time.

Who The Client Is: We operate within the interior products, construction, and design industries, specialising in tailored window furnishings and soft furnishing solutions for residential, commercial, healthcare, aged care, hospitality, and education projects.

We work closely with architects, designers, builders, developers, and end clients to deliver solutions that balance aesthetics, functionality, durability, and practical project requirements. Our services span the full project lifecycle, from design consultation and product selection through to project management, manufacturing, installation, and aftercare.

Role Overview: The Data & Systems Engineer plays a critical role in helping to design, build, and maintain robust systems, automations, and integrations that underpin our operations.

This role is responsible for translating identified business inefficiencies into technical solutions, and implementing practical systems that improve productivity, accuracy, and scalability across the business. Working closely with the Head of Brand & Growth and Chief Operational Officer, this role supports our philosophy of making the business better, not bigger.

The Data & Systems Engineer acts as our internal point of ownership for technology, automation, AI applications, system integrations, Excel-based pricing tools, and IT coordination, bridging business needs with technical execution.

Key Responsibilities: 

Systems Architecture & Automation Development

  • Design, build, and maintain automation across internal business systems to reduce manual processes and operational friction.
  • Identify workflow inefficiencies and implement technical solutions that improve speed, accuracy, and consistency.
  • Develop, test, and deploy automation workflows across CRM, finance, operations, and project delivery systems.
  • Continuously optimise systems to support evolving business needs.

AI Enablement & Workflow Optimisation

  • Explore and implement practical AI use cases across the business, including:

o Product specification and pricing logic

o Data processing and validation

o Scheduling, task allocation, and workflow prioritisation

  • Prototype and deploy AI-supported tools that enhance decision-making and operational efficiency
  • Ensure AI solutions are pragmatic, maintainable, and aligned with business outcomes

Systems Integration & Development

  • Own and support integrations between key platforms, including:

o HubSpot (CRM, workflows, custom objects, reporting)

O Excel-based pricing and estimation tools Xero and finance-related systems

  • Maintain data integrity across systems and ensure consistent information flow
  • Support ongoing development and improvement of Reillys’ custom-built internal tools

Excel Pricing & Estimation Management

  • Take ownership of all Excel-based pricing, costing, and estimation spreadsheets used across the business
  • Maintain and improve spreadsheet structures, formulas, and logic to ensure accuracy and scalability
  • Implement version control, documentation, and validation processes for pricing tools
  • Work toward deeper integration between Excel models and HubSpot to streamline quoting, approvals, and reporting
  • Ensure pricing tools remain reliable, auditable, and easy for teams to use

IT & Technology Ownership

  • Act as Reillys’ internal technology lead and first point of contact for systems- related matters
  • Liaise directly with the external IT provider to coordinate:

o IT support and issue resolution

o System upgrades and improvements

o Security, access, and infrastructure considerations

  • Assist in shaping Reillys’ short- and long-term technology and systems roadmap

Strategic Collaboration & Problem Solving

  • Work closely with the Head of Brand & Growth and COO to:

o Identify operational bottlenecks and inefficiencies

o Brainstorm and evaluate potential technical solutions

o Build and deploy solutions end-to-end

  • Collaborate with stakeholders across sales, estimating, projects, production, factory and finance
  • Translate business challenges into clear technical requirements and implemented outcomes

Success Measures / KPI

  • Automation and system improvements successfully deployed and adopted by teams
  • Reduction in manual processes and duplicated data entry
  • Excel pricing and estimation tools remain accurate, reliable, and well- maintained
  • System integrations function reliably with minimal data errors
  • Positive feedback from leadership on system performance and problem- solving impact
  • Demonstrated contribution to operational efficiency without increasing headcount

Required Skills and Qualifications:

  • Experience in systems engineering, automation, or software development roles
  • Strong capability in Excel (advanced formulas, logic modelling, data validation)
  • Experience working with CRMs (HubSpot preferred), APIs, and system integrations
  • Understanding of automation tools, workflows, and AI concepts in a business context
  • Comfortable working across both technical and operational environments
  • Strong problem-solving skills with a hands-on, implementer mindset
