Job Description
- Monitor various channels for incoming purchase orders, ensuring timely processing and acknowledgment.
- Enter orders accurately and promptly into the business system within specified turnaround times (TAT).
- Allocate products on orders efficiently, ensuring fair distribution and availability for fulfillment.
- Facilitate the timely creation of delivery notes on sales orders to enable smooth allocation of products for shipment.
- Collaborate with shipping facilities to coordinate the timely dispatch of products to customers, maintaining open communication channels throughout the process.
- Liaise with carrier teams to obtain regular status updates on shipments (pickup, in transit, delivery), keeping stakeholders informed of progress.
- Coordinate with the demand control team to obtain availability dates for items that are short or unavailable on customers' orders.
- Engage with customers to identify suitable substitutes for unavailable items and communicate availability dates effectively.
- Track and trace orders once they leave the shipping facility, providing real-time updates to customers as needed.
- Generate credit and debit memos in cases of under or over shipment on sales orders, ensuring accuracy and adherence to company policies.
- Communicate proactively with customers regarding process updates, ensuring clarity and transparency throughout the order fulfillment journey.
- Analyze customer order trends and promptly raise any deviations or anomalies observed.
- Collaborate effectively within the team to address ad hoc requests promptly and efficiently.
- Provide high-quality customer service by promptly researching and responding to inquiries from internal and external stakeholders in a professional and effective manner.
- Demonstrate strong problem-solving skills, with the ability to analyze and resolve issues independently before escalating to the next level, ensuring smooth operations and customer satisfaction.
