Fleet Operations & Projects Team Lead
The Fleet Operations & Projects Team Lead is a junior supervisory role responsible for the strategic oversight of fleet administrative functions and order deliveries, events and client engagements targeted at B2B Direct Sales Clients and the management of critical operational projects. This position provides leadership to the Fleet Specialists, ensuring that Government, Rental, and Company Fleet sales targets are met through efficient workflow management. Beyond daily operations, the incumbent leads the "Basic Control File" (BCF) audit preparation, manages fleet marketing communications, and orchestrates fleet events and procurement tenders. The role serves as a key guardian of departmental compliance, business continuity, and professional stakeholder engagement.
Team Leadership and Operational Oversight:
Supervise the Fleet Administrative Coordinator and oversee the end-to-end project management (from "dressing" to "retailing ") for Government, Rental and Company Fleet sectors to ensure on time delivery and the achievement of monthly sales objectives.
Audit and Compliance Project Management:
Lead the "Basic Control File" (BCF) projects for Fleet and Remarketing departments, managing the annual review and update of documents including project management to ensure successful delivery of open OIC's.
Financial Governance and Procurement:
Manage Direct Sales selling budget reconciliation including complex accounts administration and ARIBA procurement processes, including writing Statements of Work (SOW) for tenders, managing supplier PO lifecycles, and ensuring strict adherence to Finance and Purchasing deadlines and requirements.
Strategic Communications and CRM Management:
Orchestrate the deployment of technical, pricing, and marketing information to fleet customers via SAP CRM and managed mailboxes, while maintaining the Fleet Communications Tracker and customer database integrity.
Event and Merchandise Coordination:
Direct the administrative execution of Fleet events and manage the merchandise stock infrastructure, ensuring successful event delivery through proactive supplier management and budget tracking.
Risk Management and Business Continuity:
Maintain the departmental Business Continuity Plan (BCP) and Call Tree lists, oversee SharePoint architecture and access, and ensure team compliance with mandatory training and Record Retention (DRIM) policies.
Interdepartmental Collaboration:
Work closely with other departments (Marketing, Finance, Operations, Demand Planning, Sales) to ensure alignment and support sales efforts.
Cross-Functional Projects:
Participate in cross-functional projects
Stakeholder Engagement:
Engage with key stakeholders - government, rental clients; leasing clients; corporate clients, dealers, modifiers and suppliers
- Bachelor's degree in Business Administration, Marketing, Logistics or a related field.
- 5+ years of experience in experience in automotive fleet operations or sales administration.
- At least 1–2 years of experience in a supervisory or team-lead capacity.
- Proven track record in project management, specifically related to audit compliance or procurement tenders.
- Proficiency in CRM systems. Experience with Ford’s internal systems and procurement-to-pay (P2P) cycles is highly preferred.
- Strong communication and interpersonal skills. Excellent negotiation and problem-solving abilities.
