The Payroll Onboarding Clerk is a member of the Payroll team and is responsible for processing new hire and rehire employee setups within ADP Workforce Now (WFN). This role ensures employee records and payroll documentation are complete, accurate, and payroll-ready by reconciling onboarding documentation, managing onboarding requests through SolarWinds Service Desk, and maintaining electronic employee records. Success in this role requires exceptional attention to detail, strong data entry accuracy, and the ability to manage high volumes of employee transactions while maintaining strict confidentiality. Reporting to the Payroll Process Improvement Lead, you will undertake the following RESPONSIBILITIES:

Your core responsibilities include:

  • Process new hire and rehire employee setups within ADP Workforce Now (WFN), ensuring employee records are complete, accurate, and payroll-ready. 
  • Review and process onboarding requests submitted through SolarWinds Service Desk, managing assigned tickets in accordance with established service levels. 
  • Reconcile new hire and rehire documentation to ensure all required payroll documentation has been received, verified, and is complete prior to processing. 
  • Upload, organize, and maintain employee onboarding documentation within ADP WFN, ensuring electronic employee records are complete, accurate, and audit-ready. 
  • Validate employee information against submitted documentation to ensure data accuracy and payroll compliance. 
  • Process employee record updates and rehire transactions in accordance with established payroll procedures. 
  • Maintain the integrity of employee data by performing quality assurance checks and resolving discrepancies before payroll processing. 
  • Collaborate with Recruiter/Hiring Managers to obtain outstanding documentation and resolve onboarding discrepancies. 
  • Monitor and manage onboarding-related tickets within SolarWinds Service Desk, ensuring timely completion and communication with internal stakeholders. 
  • Maintain organized electronic employee records while adhering to privacy legislation, company policies, and payroll record retention requirements. 
  • Support high-volume hiring initiatives by accurately processing large volumes of new hire and rehire transactions while meeting established turnaround times. 
  • Identify opportunities to improve payroll onboarding workflows, documentation standards, and data management processes.
  • Handle confidential employee and payroll information with professionalism, discretion, and a high level of accuracy

Skills & Experience:

  • 2+ years of experience using ADP Workforce Now (WFN)
  • 2+ years of experience processing employee records or payroll-related data. 
  • Experience using SolarWinds Service Desk or a comparable ticketing system. 
  • Experience working in a high-volume, deadline-driven administrative or payroll environment.
  • Proficient in Google Workspace, including Gmail, Google Docs, Google Sheets, Google Drive, and Google Meet, within a collaborative cloud-based environment. 
  • Experience working with cloud-based document management systems to securely organize, upload, and maintain electronic employee records. 
  • Strong data entry skills with a demonstrated commitment to data integrity and quality assurance. 
  • Ability to identify discrepancies, missing information, and documentation gaps while following established payroll procedures. 
  • Excellent organizational and time management skills with the ability to manage multiple priorities and consistently meet deadlines in a high-volume environment. 
  • Strong written and verbal communication skills with the ability to collaborate effectively with Payroll and Recruitment Managers. 
  • Proven ability to handle confidential employee and payroll information with discretion and professionalism. 
  • Demonstrated ability to follow established processes, work independently, and maintain a high level of accuracy with minimal supervision. 
  • Postsecondary education in Business Administration, Human Resources, Payroll Administration, or a related field is considered an asset.

This salary range is based on an assessment of the local market and may vary depending on the successful candidate's location. This range is based on base salary and does not include additional bonus program and total rewards eligibility.
